Site Assistant, your future position?

Reporting to the Head of GBS, you will manage several operational activities related to: reception, events, facilities, administrative tasks and local HR.

 

Your main responsibilities will be:

Assistance to Direction:

  • Prepare presentations and coordination of the director's agenda.
  • Assistance in documentation and reports that need approval.
  • Assist visitors from abroad (e.g.: Reservation of remises, rooms, hotels, complimentary parking and lunch or dinner places).
  • Prepare expense reports in due time and form on own and director's expenses.

 

Facilities

  • Support initiatives associated with Facilities and office management.
  • Assistance for site-wide facilities (dining room, meeting rooms, kitchen).
  • Maintain duplicate key stock (drawers, rooms, lockers).
  • Administer meeting room use and organization of modular rooms.
  • Organize on-off site social activities (celebrations, events, videos), coordination of all staff meetings with IT support.
  • Organization and registration of GBS internal events and all staff meetings with IT support.

 

Reception

  • Receive external people such as GBS and coordination of access (staff and garages).
  • Handle phone calls, correspondence and incoming documentation from staff and suppliers.
  • Manage requirements, purchase orders and receipts, on all GBS orders in this regard (bookstore, first aid kit, others) and stock control.
  • Contact with suppliers and control of invoicing related to the area (e.g. remises, catering, cleaning).

 

This position is based in Martinez, Buenos Aires with an hybrid model (4 days at office and 1 day of home office).

 

Your professional profile includes:

  • University degree in Administration or similar areas.
  • 1+ years of experience in similar roles.
  • Fluent English.
  • Advance Microsoft Office knowledge.
