Weekend Receptionist-Part Time

The AL/MC Receptionist is responsible for managing and directing all communications and requests from residents and the general public in the AL/MC.
Work Schedule - Every Saturday and Sunday 4pm-8pm
DUTIES/RESPONSIBILITIES
1. Greet everyone in a friendly, upbeat, and positive manner; smile, make eye contact.
2. Monitor resident daily ‘check-in’ and ‘no-dial’ reports to Home Care as appropriate.
3. Email the Transition Support Team of any security or resident welfare concerns.
4. Address all incoming telephone calls.
5. Monitor the fire alarm system.
6. Ensure that all persons entering Plymouth Harbor through the AL/MC lobby are identified.
7. Monitor the sign-in logs for visitors, outside vendors/contractors, and persons seeking employment.
8. Facilitate special delivery packages, i.e., Federal Express, UPS, drug stores, pharmacy, flowers, cleaners, and general deliveries.
9. Respond to all inquiries from residents and the general public, via telephone and in person.
10. Manage AL/MC computer operations, e-mails, in-house notices, etc.
11. Maintain and update records and reports as required by Administration.
12. Sign in guests staying in resident apartments; maintain an annual log.
13. Coordinate work order requests and forward to the appropriate department.
14. Communicate necessary information and updates to the AL/MC Receptionist reporting to work for the next scheduled shift.
15. Manage the in-house mail boxes; distribute resident and departmental mail. Maintain a log of signed-for registered mail and packages, including pharmacy deliveries.
16. Monitor CCTV cameras for any unusual activity and direct Security to investigate, as needed.
17. Monitor lobby, elevator and front parking activity. Notify the Administrator of safety concerns.
18. Attend and participate in workshops, seminars, and mandatory in-services as approved or required.
19. Maintain work area, equipment and supplies in a clean, sanitary and organized manner. Ensure that work areas are neat and confidential materials are properly stored before leaving area on breaks, end of work day, etc.
20. Work safely; complying at all times with Plymouth Harbor safety standards.
21. Discharge properly such other responsibilities and duties as the Health Services Operations Coordinator, Administrator of Assisted Living or Sr. VP of Health Services may direct.
SUPERVISORY RESPONSIBILITY
• This position has no supervisory responsibilities.
QUALIFICATIONS
Education:
• High school graduate or equivalent.
Experience:
• Minimum one year as a receptionist or administrative assistant in a busy environment.
General:
• Must have excellent organizational skills.
• Must be a detail-oriented person and able to perform duties with great accuracy on a daily basis.
• Must have excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style; a style that inspires the respect of others and promotes a sense of trust in the individual’s competence.
• Must have good communication skills; speaking, writing, and listening.
• Must be fluent in English.
• Must have excellent computer skills.
• Must be proficient with Microsoft Office programs with emphasis on Excel, Outlook, and Word, with the ability to learn and use proprietary software as required.
