The Program Associate (PA) works under the direct supervision of the Senior Program Officer to provide administrative support to grant making and exchange programs. PA will be responsible for managing grants provided to organizations in the U.S. and Eurasia region. Additional responsibilities include responding to inquiries, handling program documentation, completing administrative tasks, and offering comprehensive coordination and support. The PA also contributes to various program components such as report writing, payment processing, webinar and training organizing. Proficiency in English required, proficiency in Russian strongly preferred.
Essential Functions
- Manage grants provided to organizations in the U.S. and Eurasia region, including maintaining regular communication with grantees, monitoring project progress, reviewing progress and financial reports.
- Provide administrative support for assigned programs and projects to help achieve their objectives.
- Organize and coordinate events, virtual courses, and training webinars.
- Address participant inquiries regarding the Grants Management system, program protocols, sanctions, and legal constraints.
- Support participant recruitment and selection.
- Support program monitoring and evaluation activities.
- Assist with data collection and initial preparation of quarterly progress reports, donor briefs, and newsletters.
- Review and translate documents from English to Russian and vice versa.
- Process invoices, stipends, and payment requests in accordance with policies and program budgets.
- Work with grantees on budgeting prior to submission for budget analysis.
Education
- Bachelor’s degree in international studies, program management, social sciences, or a related field is strongly preferred.
Qualifications/Experience
- Minimum of two years of experience in international development work, including experience with international development programs; living, studying, traveling, or working in cross-cultural settings is strongly preferred. Previous work experience in Eurasia region strongly preferred.
- Minimum one year of grants management experience required.
- Proficiency in written and spoken English and Russian, including the ability to translate documents.
- Excellent organizational skills and attention to detail, ability to manage multiple tasks effectively.
