The International Mission Board, a nonprofit religious organization in Richmond, VA, is accepting ongoing applications for an Administrative Assistant!

Location: Richmond, VA

We are seeking a detail-oriented and proactive Administrative Assistant to support our U.S. Operations and Logistics Department. This role provides essential administrative and organizational support to the department’s leadership and team, ensuring smooth day-to-day operations. The ideal candidate will excel at multitasking, managing schedules, coordinating communications, and assisting with projects that drive operational efficiency across the organization.

Responsibilities:

  • Provide comprehensive administrative support to the Director of U.S. Operations and Logistics, including managing a dynamic calendar, coordinating meetings and travel, preparing expense reports, maintaining organized document storage systems, supporting project management tasks, updating intranet content, and serving as a liaison for internal and external communications.

  • Create and process supplier invoice requests and purchase requisitions in Workday to support Distribution Services, Reprographics, Procurement, Freight, RVA Facilities, ILC Facilities and Grounds, and U.S. Logistics teams.

  • Primary administrator of company ID credentials for RVA and ILC operations, collaborating closely with Facilities Managers to ensure proper access levels for all personnel.

  • Develop and maintain utility usage records, maintenance performance logs, and contract service spreadsheets.

  • Monitor, organize, and restock supply closets with standard office supplies.

  • Create replenishment orders in SKULabs for office supplies and submit requisitions in Workday for materials as needed.

Requirements:

  • Minimum of 3 years’ experience providing administrative support to multiple individuals or teams in a professional environment.

  • Strong decision-making, pattern recognition, and problem-solving skills with the ability to anticipate needs and address issues proactively.

  • Familiarity with, or the ability and eagerness to learn, platforms including Microsoft Office Suite, Workday, S2, SKULabs, and SmartSheet.

  • Excellent organizational and note-taking abilities, with a keen eye for detail and accuracy.

  • Ability to read, interpret, and analyze complex documents, and draft clear, professional responses to inquiries.
