About the role

As a member of the Grants Team in the School of Medicine Office of Research Administration (ORA), we are seeking a Grants Associate who will be responsible for review, problem resolution and institutional approval/signature authority for grant and incoming subgrant applications and awards. Reporting to the Associate Director of Grants, the ideal candidate will be a self-motivated, organized, team-oriented person who exercises good judgment, is attentive to detail and excels in a fast-paced, deadline-driven work environment. This central office research administration position is remote and has no financial responsibilities.


Specific Duties & Responsibilities

  • Manages the central administration grants process from proposal submission through closeout for assigned SOM departments/divisions.
  • Review, approve and submit grant and subgrant applications for federal, academic and non-profit sponsors and prime sponsors.
  • Negotiates and executes non-profit grant and incoming subgrant awards and agreements on behalf of the University.
  • Processes Just-In-Time request and sponsor prior approval requests and administrative updates, such as relinquishments, carryover, effort reductions, etc.
  • Submit account setup requests for new awards or award updates.
  • Remains informed and up to date on events, regulations and changes that affect sponsored projects.
  • Interprets guidelines and assist in applying them to specific proposals, awards and issues.
  • Provides guidelines and mentoring to department partners on best practices in pre-award administration.
  • Assists Associate and Assistant Director and team with the development and presentation of specialized and ad-hoc trainings for the SOM research community as needed.
  • Works collaboratively within the Office of Research Administration as well as with other central University offices, external organizations, collaborators and sponsors.
  • Other duties as assigned by supervisor.


Minimum Qualifications
  • B.A. or B.S. or a minimum of three years’ experience in research administration with some specialized experience in grant administration.
  • Demonstrated understanding of research administration best practices.
  • Must be able to manage competing priorities with multiple—sometimes tight—deadlines.
  • Proficiency in Microsoft Word, Microsoft Excel, Adobe Acrobat and various federal and non-federal electronic proposal submission and award management systems: eRACommons, Grants.gov, ASSIST, proposalCENTRAL, fastlane/Research.gov, etc.
  • Familiarity with federal agency policies, regulations, application requirements and their application to sponsored research.
  • Excellent oral, verbal and written communication skills.

Starting Salary Range: $62,900 - $110,100 Annually ($75,000 targeted; Commensurate with experience)

Schedule: M-F 8:30 am - 5 pm
