Position Overview

The Division of Mental Health is seeking to hire an Administrative Assistant I for the Elizabeth Packard Mental Health Center located in Springfield, Illinois to serve as a highly responsible confidential administrative support for the Hospital Chief Executive Officer. Prepares a wide variety of confidential, complex and sensitive documents and reports which impact hospital policies, procedures, programs and service delivery at a minimum and medium security mental health facility. Serves as correspondence control manager for the Hospital Chief Executive Officer. Tracks the status of on-going OIG investigations. Serves as primary timekeeper for the Hospital Chief Executive Officer’s subordinates. Organizes and attends meetings and provides documentation.

Essential Functions

  • Serves as a highly responsible confidential administrative support to the Hospital Chief Executive Officer at Elizabeth Packard Mental Health Center.
  • Logs and tracks evaluation due dates for all staff and ensures communication is sent to supervisors.
  • Serves as correspondence control manager for the Hospital Chief Executive Officer, answering phone lines for Elizabeth Packard Mental Health Center’s main number.
  • Tracks the status of all on-going OIG investigations.
  • Responds to verbal inquiries for general and specific information from individuals in the community, Central Officer, other state entities, surveyors, auditors, etc.
  • Serves as primary timekeeper for the Hospital Chief Executive Officer’s subordinates, records employees’ daily attendance on appropriate forms and submits to the Payroll/Timekeeping Office. 
  • Attends meetings with the Hospital Chief Executive Officer, writes summaries of meetings and develops a tracking system for projects assigned during the meetings.
