Job Summary:
The Coordinator, Integrated Comms, Events & Education is responsible for supporting the group’s needs for monthly order-writing, inventory management, event support and education support. Key responsibilities include managing inventory, forecasting and securing product to fulfill pr, production, event and education needs. Creating strong partnerships at each aspect of the process will lead to success.
Portfolio of brands includes Shiseido, Clé de Peau Beauté and all brands currently within the US distribution of Shiseido Fragrances.
This position operates in a team-oriented environment and works closely with many stakeholders.
Primary Duties & Responsibilities:
Essential Job Duties
- Manage monthly order-writing needs for products and tools that are vital to the successful execution of PR, Influencer, Production, Education, & Retail consumer events.
- Own the process and look for opportunity to streamline, reduce redundancies and avoid errors.
- Create strong working relationships with process stakeholders: Integrated Comms teams, Supply Chain, Customer Service & Sales Operations.
- Follow-up and follow through with customer service and tracking details.
- Manage owned inventory & monthly forecasts to secure inventory for future needs.
- Asist teams in the follow-up of new product orders to Japan.
- Support Education Team with weekly content uploads to Fragrance Elearning App and monthly user reports.
- Fulfill New Hire Gratis Orders for Shiseido BCs & Clé de Peau Beauté PBSs as needed.
- Assist Event team with the organization and execution of instore events as needed. Assist with event tool and spa tool allocations.
- Code and prep Event & Education invoices for approval to ensure all terms and payments are met.
Additional Responsibilities:
- Assist in the creation of education and event materials (presentations, collateral, videos, etc) as needed.
- Conference and Sales Meeting support as needed.
Qualifications & Competencies:
- College Degree
- Experience in beauty experience preferred
- Extremely organized and detailed oriented. Exceptional administration skills.
- Love of beauty category and desire to learn at an entry level
- Professional & effective communication and follow-up skills
- Expertise in written and verbal communication
- Expert skills in Excel, Microsoft Office Suite, Teams, BOX, Zoom
- Team player with strong partnership skills and ability to develop rapport with many departments and levels.
- Agility, initiative and flexibility to manage several projects at any given time and respond to business needs.
