Office Manager/Executive Assistant

About the role
Summary:This role has two main functions. First, you will manage the office at CFGI’s corporate headquarters in Boston. Second, you will provide executive assistant support to approximately five Senior Managing Partners. You will collaborate with Regional Support Managers overseeing CFGI’s other offices in the US and globally. This role reports to CFGI’s Head of Administration and Events. Key Responsibilities:
Boston HQ Office Management· Manage day-to-day office operations, including facilities management, creating/termination badges, greeting visitors, and ordering office supplies.· Coordinate office activities and events (e.g. internal socials, marketing events, etc.).· Serve as the main point of contact for office-related issues, including liaising with vendors and service providers.· Accept and sort all incoming office mail, ensuring it is promptly routed to the appropriate recipients.
Executive Assistant Responsibilities· Provide high-level administrative support to approximately five executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.· Act as a liaison between the executives and other team members to ensure clear communication and alignment.· Organize and prioritize incoming information, ensuring that executives are aware of important issues and deadlines.· Handle confidential information with discretion and always maintain the highest level of professionalism. Qualifications:· Proven experience in executive administration, office management, or event coordination.· Experience with supporting multiple executives is preferred.· Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.· Excellent verbal and written communication skills.· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling and project management tools.· Strong attention to detail and accuracy.· Associate’s or Bachelor’s degree or equivalent experience is preferred.
