About the role
Description
Job Duties
- Oversee referral process is smooth and consistent regardless of referral source and consults are performed timely
- Manage insurance compliance with authorization process
- Manage patient payment plans, referrals to any external payment partners, complex billing questions, and any other higher level financial needs the practice or patient may have
- Manage all insurance denials for procedures
- Tracking of patients to ensure a consistent and timely experience
- Aggregate patients who may not qualify, but are interested in treatment(s), create a care plan with the patient and provider, and follow up as necessary for continued support until the patient was ready for treatment
- Submit insurance authorization forms when applicable, as well as keep the provider team and patient informed of time frames and approvals
- Contact for pharmacy and medications related to Spravato, ketamine and/or
- REMs compliance as needed for all offices
- Collect copayment when applicable
- Schedule Service Line treatments and Provider follow up appointments
- Answer phone calls and patient communications and address Service Line treatment questions
- Assist in answering phone calls and recording patient requests for medication refills
Reporting to: The Administrative Assistant will report directly to the Service Line Manager
Requirements
Minimum Qualifications
- Greeting/assisting patients and customers
- Managing calendars of staff meetings and patient appointments
- Handle incoming calls and other communications including follow-up phone calls with patients/ customers
- Handling incoming correspondence, including emails, faxes and mail
- Tracking office inventory, including ordering supplies/ medications, coordinating deliveries and managing vendor contracts
- Proficient in Microsoft Office/ Google Workspace
- Record information as needed, including meetings notes/ consults, etc.
- Experience with navigating insurance prior authorization, denials, and appeals
- Managing billing and payment collection in a medical setting
Preferred Qualifications
- Experience in computer skills and ability to operate general office equipment
- Excellent skills to prioritize and organize
- Comfortable working independently
- Excellent oral and written communication skills
- Excellent interpersonal skills and outstanding customer service
- Knowledge of TMS authorization process and billing awareness
- Ketamine and Spravato knowledge of administration, authorization, and billing.
- Experience in Medical Billing
