An exceptional opportunity exists to provide high-level administrative support to RAND’s Development team, providing direct support to RAND’s Chief Development Officer (CDO).
The successful candidate will be a self-starter who enjoys working in a varied environment. They must have strong communication, organizational, and administrative skills, a demonstrated ability to manage competing priorities, and a demonstrated ability to interact with donors and other VIPs in person, on the telephone and in writing. This role offers a flex work arrangement. Responsibilities will include, but are not limited to:
Completing a broad variety of administrative tasks for the CDO including managing an active calendar of appointments and providing proactive calendar support; completing expense reports; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings
Prioritizing conflicting needs; handling matters expeditiously, proactively, and following through on projects to successful completion, often with deadline pressures.
Coordinating complicated meetings with multiple attendees.
Preparing PowerPoint presentations for internal and external meetings with multiple stakeholders.
Taking accurate notes and providing timely minutes for department meetings.
Assisting with development and distribution of online and mailed communications to donors and prospects.
Assisting with basic research on donors and prospects.
Ensuring the accuracy of donor information and tracking donor communication in donor database (Salesforce).
Coordinating information flow, preparing materials for distribution, and reviewing/proofreading proposals, reports and other fundraising documents.
Coordinating between the Development department and the RAND research divisions and centers to ensure a positive donor experience.
Continuously developing innovative approaches to enhancing team functionality, efficiency, and productivity
General administrative support includes event planning and travel arrangements; complex scheduling across multiple calendars and time zones; planning and staffing a wide array of internal and external meetings, and handling material of a sensitive or confidential nature.
Qualifications
Knowledge of Adobe Acrobat Professional and advanced experience with Microsoft Office suite;
Strong time/task/project management and organizational skills;
Strong interpersonal skills and communication;
Strong problem-solving abilities;
Ability to effectively prioritize to meet deadlines and manage multiple projects concurrently;
Ability to work independently and be a self-starter;
A high level of attention to detail;
A demonstrated ability to interact with donors and other VIPs in person, on the telephone and in writing;
A strong sense of discretion in dealing with sensitive and confidential issues;
Willingness to handle unexpected and last-minute needs;
Must be available to work events in the evenings and/or weekends occasionally;
Salesforce or database experience is preferred;
Prior experience working in Development/Fundraising environment is strongly preferred
Must be able to work east coast business hours regardless of location as standard schedule.
Experience
Minimum of 3 years; 6 years preferred (A bachelor’s degree may be substituted for 2 years of experience)
Education
High School Diploma required; BA/BS preferred
Salary Range
$60,900-$90,800
