The Hussman Institute has an exciting opportunity for a Senior Project Coordinator. The incumbent coordinates project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.

CORE JOB FUNCTIONS                                                                                                          

1.    Assists with the assignment of tasks to internal teams to include schedule management.
2.    Assists with budget preparation and tracks all project related expenditures.
3.    Monitors project progress and addresses any issues that arise. Assists with the identification of completion shortfalls.
4.    Acts as the point of contact and communicates the project status to relevant stakeholders. Communicates timeline changes and new information to project team.
5.    Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored.
6.    Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
7.    Organizes, attends and participates in project meetings.
8.    Prepares necessary presentation materials for project meetings.
9.    Records minutes and takes detailed notes during meetings. 
10.    Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects. 
11.    Adheres to University and unit-level policy and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                                                         

Education:

High school diploma or equivalent

Experience:

Minimum 3 years of relevant experience

Department Specific Functions

Act as a Referral Navigator- for all studies. This position will create an extensive tracking system for us to use to identify individuals who express interest in our research studies. Details such as, ‘how did you hear about us’, study of interest, etc. This will also allow the department to develop strategies around resources that generate the most interest for our research studies. This individual will develop reports and give updates to the Director of Research Support allowing the department to measure ascertainment time of interest to enrollment. This individual will be ordering supplies for our international collaborators in Africa and Peru while also assisting our local collaborators with clinical sample preparations. Act as Retention Specialist-for all AD Studies. This position will help make phone calls to follow up participants, schedule new appointments, confirm demographic information and any other study related update including updating participant status such as lost to follow up, deceased, etc. Supervise the Clinical Research Data Specialist who is responsible for scanning, filing, chart making, reorganizing, data entry for the HIHG’s chart room and field study room. This position will be required to obtain on the job phlebotomy experience to help us expand our clinical research teams’ resources. This position will assist in administering non neuropsychiatric forms to assist with enrollments of our clinical research participants.
