FINN Partners has an immediate opening for an Office Manager/Administrative Assistant in its Portland, Oregon office. This role will be responsible for performing various administrative and clerical tasks to support the Pacific Northwest Strategic Communications Business Unit. As an Office Manager/Administrative Assistant at FINN, you will have the opportunity to:
- Welcome and direct visitors and clients
- Implement and maintain office policies and procedures
- Serve as a liaison between the management team and internal/external stakeholders
- Coordinate and schedule travel, meetings, and appointments for management team members
- Assist in planning and organizing company events, celebrations and meetings
- Assist management and HR team with on-the-ground duties for new or visiting employees
You will also be asked to:
- Open and close the office
- Maintain a safe, clean, and professional work environment
- Answers and transfers phone calls, screening when necessary
- Maintain filing systems as assigned
- Sort and distribute incoming mail, receive packages, and prepare/ship outgoing mail/packages.
- Respond to and resolve administrative inquiries and questions
- Monitor, order, and stock office supplies and snacks
- Monitor and coordinate maintenance of office equipment
- Track receipts and reconcile the company credit card
You are a strong candidate if you have:
- 3-5 years of experience in an administrative role.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational and multitasking skills.
- Proficient skills in Microsoft Office Suite or related software (Word, Excel, PowerPoint, Outlook).
- A basic understanding of clerical procedures and systems such as recordkeeping and filing.
- The ability to work independently and as part of a team.
- An Associate’s degree; Bachelor’s degree in related field preferred.
You must also be able to:
- Sit at a desk for prolonged periods working on a computer.
- Lift up to 15 pounds at times.
