The Department of Probation is recruiting an IT Administrative Assistant to support departmental operations. Duties include, but are not limited to, the following:
- Serve as an Administrative Assistant to the IT Department;
- Prepare critical and confidential correspondence;
- Develop and maintain spreadsheets, tracking reports and filing systems;
- Coordinate executive meetings and maintain executive calendars;
- Serve as liaison to agency divisions, client agencies and oversight agencies;
- Answer phone calls and provide follow-up and customer service;
- Perform general administrative office work;
- Compilation of meeting materials;
- Research and data collection;
- Assist in the preparation of creating, editing, organizing, analyzing and maintaining detailed documents, presentations and spreadsheets;
- Consolidate project data activities; track technical resource allocations; document technical procedures;
- Compile and analyze data utilizing Microsoft Excel, conditional formatting, and other complex formulas;
- Produces personnel reports which are accurate, concise, and understandable;
- Assist with hiring process including scheduling interviews with potential candidates and preparation of hiring materials;
- Maintain and update IT's Org chart;
- Maintain the shared repository of documents (i.e. SharePoint, OneDrive, etc.);
- Track resource allocations;
- Document technical procedures;
- Compile and analyze data utilizing Microsoft Excel, conditional formatting, and other complex formulas;
- Coordinate technical meetings;
- Additional duties as assigned.

Qualifications
Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.
