Job Description

Are you an organized, proactive, and self-directed administrative professional looking for a new opportunity? The Building Technologies Communications Systems leadership team is seeking Executive Assistant to provide administrative and project support in our Burnsville headquarters location!  Job Responsibilities include the following:

  • Support leadership team with the following:
    • Email and calendar maintenance.  Takes a proactive approach to identifying, prioritizing and resolving scheduling conflicts.
    • Monthly expense report management and reconciliation of credit card statements.
    • Manage domestic and international travel arrangements.
    • Provide support with professional correspondence, PowerPoint presentations and reporting as requested.
    • Interface with other Executive Assistants (locally and internationally) to clarify, support, and expedite requests.
  • Manage meetings and events for the business to include the following:
    • Coordinate meeting arrangements for all, key, on-site and off-site meetings (conference rooms, catering, hotel arrangements, conference calls, etc.).
    • Proactively initiates and organizes meeting agendas. Updates OPL as needed.
    • Participate in select meetings; records meeting minutes and action items and follows up as required.
    • Manage own purchasing card and submits monthly summary for catering and events.
  • Manage and coordinate operational tasks to include the following:
    • Own and manage both global and local distribution lists for business within Outlook.
    • Edit owner for Bosch Global Network (intranet) pages relating to the business unit.
    • Own Teams channels for dissemination of slide decks, other business-related materials
    • Create and maintain organizational charts for business (PowerPoint).
    • Support special projects as requested.
    • Partner with other assistants to ensure efficiency and back up arrangement.

Qualifications

  • An Associate degree in related field or advanced business courses required.
  • A Bachelor’s degree in Business, International Affairs, or Communications is preferred.
  • Minimum of 3-5 years experience in an administrative role in a business environment.
  • 5-10 years of experience in an administrative role supporting executive management is preferred.
  • Experience with MS Teams is desirable.
  • Must have advanced skills with diverse software packages including MS Office Suite, specifically Microsoft Word, Excel, PowerPoint and Outlook.
  • Must have an excellent understanding of general office practices.
  • Ability to project manage is required, along with excellent oral and written communication skills.
  • Must maintain a high level of confidentiality with sensitive information.
  • Ability to interact professionally with all levels of the organization.
  • Ability to work in a fast-paced team environment with minimal supervision, and solid analytical skills are essential.
