The Project/Warehouse Coordinator serves as a critical hybrid role that bridges operational logistics and project execution. Positioned at the intersection of Warehouse Operations and Technical Program Management, this role is responsible for overseeing the coordination, tracking, and reporting of ongoing logistics projects, while also providing essential support to warehouse operations. Reporting directly to the Operations Manager, the Coordinator ensures project activities remain aligned with organizational goals by maintaining up-to-date trackers, communicating status across teams, escalating risks, and supporting warehouse operations during periods of fluctuating project volume. This role requires exceptional organization, communication, and adaptability to meet evolving business needs.

 

Key Responsibilities

Project Coordination & Tracking

  • Serve as the primary liaison between Technical Program Managers (TPMs), Logistics teams, and Warehouse Operations, ensuring visibility and progress on all active and upcoming projects.
  • Maintain and manage project dashboards, trackers, and communication threads (e.g., email, Workplace) to ensure real-time updates and alignment across all stakeholders.
  • Provide timely follow-ups and responses to ensure project milestones, deliverables, and logistics are accurately tracked and executed.
  • Escalate any risks, blockers, or gaps in scope execution to the Global Program Manager (GPM) for resolution.

Operational Support

  • Provide hands-on operational assistance within the warehouse environment, particularly during periods of low project activity, adapting to the shifting priorities of the business.
  • Act as a backup to Warehouse Coordinators during absences, ensuring uninterrupted support for day-to-day logistics functions.
  • Conduct quality control (QC) inspections for all inbound and outbound project-related materials to maintain operational accuracy and readiness.

Communication & Reporting

  • Deliver daily updates on project and operational status during team AM and PM huddles, ensuring transparency and cross-functional awareness.
  • Participate in weekly Service Review meetings and TPM syncs to provide current status reports and escalate any project-related concerns.
  • Attend the weekly Warehouse Walkabout to align physical workspace planning with upcoming project needs and material flow requirements.

Inventory & Compliance

  • Conduct weekly spot checks and cycle counts of project materials, in coordination with the Global Inventory Supervisor (GIS) and in accordance with GSST Logistics Physical Inventory Control SOPs.
  • Monitor the physical inventory status of project assets to ensure accuracy and readiness for deployment.

Process Improvement & Governance

  • Engage in monthly meetings with Global Support Services (GSS) to review and contribute to updates on SOPs, project scope documentation, and project charters.
  • Where applicable, provide detailed input to support Value Stream Mapping initiatives aimed at improving efficiency, eliminating waste, and enhancing process visibility.

Stakeholder Engagement

  • Regularly sync with the GIS and Warehouse Operations Manager (WOM) to stay informed of current and future project timelines, material requirements, and staffing considerations.
  • Communicate effectively with Site Points of Contact (POCs), Service Embedded Technicians, and TPMs to ensure clarity of task ownership and progress tracking.

What You’ll Need to Succeed

Professional Experience & Domain Knowledge

  • Hybrid Expertise: Prior experience in warehouse operations, logistics coordination, and/or project support roles, ideally within a fast-paced, shipping and receiving environment.
  • Project Coordination Background: Familiarity with managing or supporting operational projects—including use of trackers, dashboards, and communication tools—to drive tasks to completion.
