Executive Assistant, Supply Chain Leadership provides high-level administrative and organizational support to the VP, AI Infrastructure Supply Chain and the VP, Data Center Equipment Procurement. This role manages complex calendars, meetings, and travel across both leaders’ organizations, drafts and coordinates correspondence and materials, and serves as a trusted point of contact for cross-functional partners. Reporting to the VP, AI Infrastructure Supply Chain, this role requires sound judgment, discretion, and the ability to manage competing priorities across two fast-moving organizations.
Responsibilities
- Manage complex, high-volume calendars and scheduling for the VP, AI Infrastructure Supply Chain and the VP, Data Center Equipment Procurement, resolving conflicts and reprioritizing in real time.
- Coordinate all domestic and international travel arrangements, including itineraries, visas, and contingency planning for schedule changes.
- Prepare, submit, and reconcile expense reports in accordance with company policy.
- Draft, proofread, and manage correspondence, presentations, and briefing materials on behalf of both leader.
- Plan and coordinate leadership team meetings, staff meetings, offsites, and business reviews (e.g., MBRs/QBRs), including agenda development, materials preparation, and notetaking.
- Serve as a liaison between both leaders’ organizations and cross-functional partners, including Legal, Finance, HR, and other executive offices, ensuring timely follow-through on action items.
- Interface directly with external suppliers and vendors, including their C-suite executives, to schedule and coordinate meetings, briefings, and business reviews on behalf of both leaders.
- Maintain organizational documents, distribution lists, and org charts for both organizations, and support onboarding logistics for new hires.
- Handle highly confidential and sensitive business information with sound judgment and discretion.
- Support special projects and ad hoc initiatives for both leaders as priorities evolve.
- Build strong working relationships with other Executive Assistants and administrative staff across the company to enable smooth cross-functional coordination.
- Anticipate the needs of both leaders, proactively identifying and resolving issues before they escalate, and continuously improving processes that support the leadership team.
Requirements
- Bachelor’s degree preferred; equivalent experience providing executive-level administrative support will be considered.
- 8+ years of experience providing executive-level administrative support, ideally supporting VP-level or above leaders at a hyperscaler, cloud provider, or technology company.
- Demonstrated ability to manage complex, high-volume calendars and competing priorities across multiple leaders and time zones, reprioritizing in real time as needs shift.
- Experience coordinating detailed domestic and international travel itineraries, including contingency planning for schedule changes.
- Strong written and verbal communication skills, with experience drafting correspondence, presentations, and briefing materials on behalf of senior leaders.
- Comfortable interfacing directly with external stakeholders, including C-suite executives at supplier and vendor organizations, to schedule and coordinate meetings and business reviews.
- High degree of discretion, sound judgment, and professionalism in handling confidential and sensitive business information.
- Proficiency with standard productivity, collaboration, and expense-management tools (e.g., Microsoft Office or Google Workspace, calendar systems, expense platforms), with the flexibility and composure to operate in a fast-paced, high-growth environment.
