Job Summary
Responsibilities
- Leads and oversees the coordination of all Student Life events, including but not limited to Convocation, Celebration, Orientation, Treks/Trips, Student Co-Chair Trainings and Celebrations, Distinguished Speaker Series, and more. Develops event analytics to gauge success, researches applicable event venues, negotiates vendor relationships and contracts as needed, and works with broader team to guide on best practices and effectiveness of all programming.
- Manages and leads all graduation related activities, including regularly communicating with University Events team and coordinating with other Booth offices on all event details. Manages all vendor relationships and contracts for ceremonies including payments. Schedules and composes regular communications with graduating students from all populations, including Full-Time MBA, Evening/Weekend MBA, Executive MBA, Specialized Masters, and PhD students.
- Collaborates with other areas of Student Life to assist with programming for Booth Wellness, International Programs, and Joint Degree Programs.
- Supervises the Associate Director of Events and Project Assistant III; works with both roles to ensure office suite is supported and front desk is staffed.
- Reviews and executes all contracts under $10,000 related to student groups and Student Life events. Works closely with Accounting and Budgeting to execute and cover contracts related to Full-Time, Evening and Weekend, XP, and Specialized Master student events.
- Advises and manages student group cohorts; advises on planning and executing their events and socials, manages their financial accounts including processing reimbursements and refunds, ensures cohorts follow University student group policies.
- Directs manager of Student Life budget account and works closely with Senior Assistant Director on other budget accounts, such as Convocation and Orientation.
- Submits payment requests, purchase orders, reimbursement requests, internal billing, and other payment needs in the University’s Oracle FST system. Serves as back up to Senior Assistant Director for all payment needs.
- Monitors and updates Student Life websites and social media pages and helps larger Student Life team to craft marketing messages and communications strategy.
