Job Summary:

The Arizona Attorney General’s Office State Government Division/Liability Management Section is seeking an Administrative Assistant 3.

This position may be eligible for Remote Work two days a week.

Job Duties:

The Liability Management Section has an office-wide responsibility and is designated as the single point of responsibility for processing and distributing all claims and lawsuits served upon the Attorney General's Office. By statute, the Attorney General's Office serves as the primary receiver of all claims and lawsuits filed against the State of Arizona. 

This Administrative Assistant position has primary responsibility for the receipt, proper and timely distribution and document maintenance of all claims received by the Attorney General's Office. As part of these duties, the position provides guidance to the Operations Division staff in daily dealings with process servers and outside attorneys. In addition, the position performs administrative and legal support duties relative to assisting support staff and attorneys in the defense of actions filed against the State of Arizona.

Knowledge, Skills & Abilities (KSAs):

Knowledge of the Federal and State Rules of Civil Procedure.
Knowledge of the policies and procedures of the Attorney General's Office, State Government Division and Liability Management Section with a strong awareness of the other Divisions and Sections of the AGO;
Knowledge of the practice of law and the need to ensure work coverage or completion;
Knowledge of the attorney/client relationship, including the need for confidentiality and discretion;
Knowledge of State and office procedures, including extensive knowledge of the current travel policies;
Knowledge of word processing and other software applications.
Skill in grammar, punctuation, spelling and basic editing;
Skill in effective oral and written communication;
Skill in dealing with details and confidential information;
Skill in interpersonal relations and effectively dealing with others.
Ability to compose routine correspondence;
Ability to handle detailed work with accuracy and speed;
Ability to handle a wide range of administrative support functions;
Ability to efficiently handle a large volume of work, with competing deadlines, following established policies and procedures, with minimal supervision;
Ability to organize and prioritize workload to include timely filing and file organization;
Ability to work independently and utilize sound judgment;
Ability to follow procedures in a law office environment;
Ability to proficiently use a personal computer, printer, copier, scanner, fax machine, etc.;
Ability to use word processing programs for quality document production;
Ability to use e-mail, the internet, electronic case management and document management software;
Ability to respond to inquiries with tact, diplomacy, and appropriate timely information;
Ability to get along and work well with others.
Ability to handle a high volume of work and stressful situations.

Selective Preference(s):

Two years of experience as an Administrative Assistant or Legal Secretary.
