The Network for Public Health Law (networkforphl.org)with the support of its fiscal sponsor, TSNE, is a national organization providing leadership, legal technical assistance and educational resources to help public health practitioners, attorneys, policy makers, researchers, advocates, and communities develop, implement, evidence-based and innovative laws and policies to advance health equity and promote the public’s health.

Responsibilities

The Administrative Project Manager will join the Mid-States Region team to provide operations and program support. This role’s primary responsibility will be to assist the Mid-States team in managing, organizing, and coordinating a variety of projects and provide support for related activities. This work includes developing and maintaining an organized system for monitoring and tracking workflows, project budgets, team-member calendars, travel, work products, technical assistance, and reporting, as well as completing monthly invoicing. Additional key duties will include scheduling meetings, corresponding with the public in response to email and telephone inquiries and other administrative support, contributing to the Region’s team-building activities, and providing logistical support for in-person meetings and events.

 

While this is a fully remote position working with team members located across the country, the Administrative Project Manager will be expected to attend two in-person meetings annually. The Network values collegiality, professionalism and consensus in its work and operations. As a team member, the Administrative Project Manager will work closely with all members of the Mid-States Region Team, as well as with members from other Network teams and the National Office. This role reports to the Mid-States Region Director.

Essential Functions

 

Project Management

  • Develop and maintain an organized system for monitoring and tracking project deliverables and resources through completion, including legal technical assistance (provided by region attorneys).
  • Lead operational functions of one or more project peer groups, including maintaining membership lists, updating listservs, recruiting new members, creating and distributing membership directories, promoting the groups, communication responsibilities and other support activities as needed.
  • Assist with entering information and project activities in Network database.
  • Assist with monitoring budgets and expenditures across projects, and project commitments.
  • Participate in developing the Mid-States Region’s strategic plan.
  • Lead development and maintenance of team SharePoint site and related knowledge management functions.
  • Schedule project check-ins and other meetings.

 

Events and Communications

  • Partner with the Communications Team to draft and disseminate project-related communications.
  • Format and proofread work products and other materials.
  • Support webinar development and execution: developing program descriptions, managing registration, introducing speakers, administering program evaluations and providing additional support as needed.
  • Provide logistical support for virtual and in-person meetings and events, including eliciting agenda items and otherwise managing agendas, scheduling meetings, ordering meeting materials, recording and disseminating meeting minutes, and tracking completion of follow-up items.

 

Office Management and Administrative Support

  • Contribute to Region team-building activities.
  • Make travel arrangements, track team travel, and prepare expense reports.
  • Order office supplies and coordinate purchase requests.

 

Other duties as assigned.

Qualifications

  • Bachelor’s degree from an accredited college or university is required.
  • Minimum of 4 or more years of work-related experience in executive support, project management, and/or communications preferred.
  • Demonstrated competency in Microsoft Office applications (Word, Excel, PowerPoint, Teams) and ability to train team members on Office software required.
  • Exceptional time management and organizational skills with the ability to prioritize tasks effectively required.
