Occupational Summary

Perform responsible administrative and financial duties of a complex and confidential nature in support of the Everything Happens Initiative of Duke Divinity School. This position is supported by a grant, with an end date of May 31, 2025, that may be renewed.

 

Work Performed

  • Gather and scan monthly receipts
  • Categorize and enter monthly expenses into Prairie Ink sheet for accountant
  • Submit receipts for reimbursement through appropriate Duke system
  • Submit receipts through Concur for procurement card expenses
  • Assist program coordinators with set up of purchase orders, vendor reimbursement, and accounts payable checks
  • Track payments and reimbursements until they are finalized, providing updates to contractors or problem-solving when appropriate
  • Interpret appropriate GL codes
  • Maintain office files and paperwork, including typing notes
  • Manage office errands
  • Provide support for event coordination and office hospitality
  • Perform data entry to update records
  • Confidentially provide general bookkeeping, to include the faculty research account for the initiative
  • Distribute incoming and outgoing mail
  • Management of office supplies
  • Maintain internal databases
  • Work with program coordinators regularly on office-related tasks 

 

Required Qualifications at this Level

Education/Training

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

 

Experience

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
