Position Description

Position Overview The Executive Assistant will provide high-level administrative, technical, and strategic support to the senior leadership team, focusing on IT and cybersecurity initiatives. This role involves managing communications, correspondence, scheduling, and deliverables while supporting complex, high-quality activities. The position requires strong organizational and technical skills to ensure efficient operations and alignment with USAID's mission and objectives.

Location: Washington, DC Work

Schedule: Hybrid (at least 3 days per week)

Clearance: Ability to obtain a facility (FAC) clearance

Responsibilities

● Perform clerical and administrative duties, including task tracking and document management.

● Provide general office support, including formatting and finalizing reports, tables, spreadsheets, and presentations.

● Manage and prioritize incoming communications, including emails, calls, and meeting requests, ensuring timely responses.

● Support executive correspondence, including reviewing, processing, and ensuring quality and consistency.

● Assist with drafting, editing, and distributing executive communications, such as speeches, newsletters, and press releases.

● Track and assist with the execution of strategic initiatives, compliance-related projects, and deliverables in IT and cybersecurity.

● Monitor progress and prepare regular reports summarizing engagement metrics and recommendations for improvement.

● Record meeting content, prepare agendas, track action items, and provide facilitation support for stakeholder discussions.

● Collaborate with teams to ensure alignment with USAID’s objectives and facilitate smooth implementation of strategies.

● Support day-to-day operations, ensuring timely delivery of high-quality outputs.

● Assist in the preparation of management plans and reports for program and executive leadership.

● Provide support in creating graphics and visual content for reports, presentations, and briefings.

● Assist with managing and updating internal communications platforms, such as the intranet.

● Provide logistical support for events such as kick-off meetings, strategy reviews, and technical exchange discussions.

● Assist in planning stakeholder events, tracking invitations, and organizing materials.

Qualifications

●  Associate’s degree in Business Administration, Management, Finance, or a relevant field and At least two (2) years of experience performing clerical and administrative duties on US government contracts or High School diploma and at least six (6) years of experience performing clerical and administrative duties on US government contracts

 

Preferred:

 

●  Bachelor’s degree in a related discipline. Specialized training in office software products, including Word, PowerPoint, and Excel.

●  Proven ability to manage complex, time-sensitive, and high-quality activities.

●  Experience working with U.S. agency programs.

●  Strong verbal and written communication skills.

●  Proficiency in Microsoft Office Suite and content management platforms.

●  Exceptional organizational and multitasking abilities.

●  Familiarity with IT and cybersecurity terminology (preferred).

●  High level of discretion and professionalism.
