Essential Duties And Responsibilities

Within a team environment, this position will perform the following responsibilities:

Project Management (85%)

  • Collaborate with leadership, as assigned, to create and manage various project plans, including management of timelines using Wrike and other relevant software systems. Projects vary in size and scope, based on the needs of the division to which the Project Administrator is assigned and may include efficiency and quality improvements, administration of operations/compliance processes, and new program/business planning.
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders, ensuring technical feasibility, and that all projects are delivered on-time, within scope and within budget.
  • In collaboration with leadership as assigned, manage changes to the project scope, schedule, and costs, using appropriate verification techniques.
  • Measure project performance using appropriate tools and techniques
  • Perform risk management to minimize project risks, and report and escalate any identified risks to management as needed
  • Build and manage relationships with all internal CCRC clients and stakeholders, as well as any external stakeholders as appropriate
  • Track project performance, specifically to analyze the successful completion of short and long-term goals
  • Ensure project deliverables meet quality and compliance standards
  • Develop and maintain spreadsheets, diagrams and process maps to document and track project needs
  • Coordinate with leadership, across agency departments and divisions as needed, to ensure all relevant parties to a project are on track with project requirements, deadlines, and schedules.
  • Ensures access to all sensitive (confidential and proprietary) information and data is secured and provided only on a need to know bases in compliance with all relevant policies and procedures.
  • Ensures adequate justification, processing, and approval for any requests of Personally Identifiable Information (PII) or Personal Health Information (PHI) prior to any disclosure.

Administrative (15%)

  • Attend conferences and training as required to maintain proficiency
  • Manage budgetary objectives related to projects and make adjustments as necessary based on financial analysis
  • Assist in the development of user manuals, training materials, and other documents as needed to enable successful future implementation and turnover of the process or system to others
  • Provide training to leadership team as well as front line staff on new processes and procedures
  • Perform other related duties as assigned

Job Specifications

Minimum Required

  • Education: Bachelor’s degree in business, psychology, communications or related field, or equivalent experience.
  • Experience: A minimum of 3 years’ proven experience in project management.
  • Professional/Technical Certifications: n/a 
  • Technical Requirements:
    • Competency in Microsoft applications (i.e., Word, Excel, Outlook, PowerPoint, Teams, OneNote, One Drive, etc.)
    • Within six months, acquire knowledge and understanding of People & Culture Operations
  • Bilingual Required: n/a
  • Travel: Some travel/business related driving required; Staff members driving on behalf of CCRC may choose to drive a CCRC vehicle or own vehicle and must meet requirements to be an approved driver including holding and maintaining current auto insurance, current California Driver’s License and DMV clearance required.
  • Work Schedule: Full time, typically M-F regular business hours
  • Work environment: Office work environment; ambient temperature, moderate noise level, indoors
  • Background & Health Clearance Requirements: Background requirements determined according to the requirements of the program(s) which the Project Administrator will be supporting.
    • If supporting Head Start programs, the candidate must meet the following requirements:
      • Criminal Records (e.g. Livescan Fingerprinting), Child Abuse Index Check, Sexual Offender Registry, Health, Tuberculosis (TB) and Immunization clearances requ
