About the role

The Assistant Director of Stewardship is responsible for managing stewardship donor-based scholarships and other endowed funds using best practices and methodologies for cultivation, solicitation and stewardship. This position requires communications, analytical and organizational skills to compile, and review the data for donor impact reports. The position assists the Advancement team in the overall planning, integration, and oversight of development programs, specifically related to stewarding donors.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Formulates, directs, designs and coordinates the production of stewardship materials for donor impact reports to include endowed funds and some restricted gift scholarship funds and thank you mailings.
  • Collaborates with Executive Director of Advancement Services to implement the donor impact reporting program.
  • Develops and implements comprehensive stewardship plan for Office of Development, in collaboration with Development Officers and Annual Giving.
  • Coordinates and maintains endowed fund reporting program by monitoring existing agreements and awards, in collaboration with Financial Compliance Administrator, Advancement Services, Development Officers and Office of Financial Aid.
  • Collaborates with Development Officers to keep timely contact with donors to ensure a continuing relationship with the University.
  • Serves as liaison between faculty/staff and students to provide information and resources regarding scholarship activities and programs.
  • Prepares quarterly reports to the San Antonio Livestock Exposition (S.A.L.E.) and other external organizations to ensure the timely payment of scholarship cohort awards to the University.
  • Communicates with scholarship recipients to request thank you letters. Also, edit, proofread and print thank you letters to donors.
  • Assists with the planning of special events such as scholarship luncheons, receptions and donor events; coordinates remarks for speakers when appropriate; select event sites and coordinate logistical arrangements.
  • Maintains a comprehensive stewardship and reporting calendar.
  • Interviews, hires, supervises and performs semester job appraisals for work-study personnel.
  • Performs other related duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree from an accredited college or university.
  • One (1) to three (3) years of experience in development; experience in project management preferable.
  • Must clear and maintain a favorable background investigation and clearance
  • Must have valid driver's license, motor vehicle liability insurance and personal injury insurance; or have a self-reliant source of transportation to conduct business on a daily basis
  • Must be able to travel and work extended hours or weekends during peak times and for special programs, projects, and events.
  • Must have the ability to demonstrate intermediate to advanced skills in MS Office and Office 365 (Word, Excel, Teams, Outlook and PowerPoint) including experience with virtual platforms such as Zoom. Experience with Banner, ARGOS, Raiser's Edge is preferable.
  • Must possess strong written, verbal and interpersonal communication with the ability to communicate effectively in an appropriate manner with diverse populations, the University community, and the public. Must have a high level of attention to detail and be responsive to the needs of others.
  • Must be able to demonstrate strong analytical skills for determining information needs, creating work flow processes and timelines, and the development of reports that provide comprehensive endowment fund information.
  • Must be able to design, plan and coordinate fund raising activities and special events generally acquired through experience or an equivalent combination of relevant education and/or experience.
  • Ability to think independently and take initiative to plan and implement effective partnerships and relationships that sustain existing gifts and generate new gifts, including prospect identification, cultivation, solicitation, and stewardship.
  • Ability to stay informed of activities of the University in order to effectively articulate and incorporate relevant information in an oral and a written case for support.
