PURPOSE

The Retail Administration Specialist assists branch operations for both Dedham Savings and South Shore Bank and ensures that all policies and procedures are updated, communicated, monitored and followed.  The Retail Administration Specialist will work with the SVP Retail Administration Officer and Retail Administration Manager on developing and implementing departmental initiatives, as well as operational and process improvements.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Acts as a first-line resource for problem solving regarding all Retail Banking related operational issues.
  • Provides operational support to all Retail Banking centers during normal and extended business hours which will include evenings and Saturdays.
  • Reviews and creates daily weekly, monthly and quarterly reports such as the Foreign Currency Commission Report, Quality Assurance Report, Branch Discrepancy Report, weekly review of all ChexSystems declines and decisions made post-review.
  • Continually evaluates the effectiveness of existing policies and procedures. Work closely with the Retail Manual Committee and Retail Banking center network to make necessary changes and maintain updates.
  • Advises management and implements workflow improvements to operate efficiently.
  • Communicates with internal clients on operational related issues, providing recommendations as needed, while communicating with the SVP Retail Administration Officer.
  • Responsible for reviewing and auditing monthly, quarterly Retail Banking reports/audits, to ensure all policies and procedures are followed.
  • Analyzes current operations and provides input related to strengths and areas for improvement.
  • Tracks operational errors and establishes key performance indicators (KPIs) for Retail Banking that will be incorporated into a Retail Banking Operational Scorecard.
  • Provides transactional review and approval in excess of teller limits, transaction overrides, handles complex operational questions from Retail Banking centers and provides support to banking center employees with varying technologies being used.
  • Assists with assigned Retail Banking vendors. Identify areas for improvement, address, and provides feedback to the SVP Retail Administration Officer.  Assists with Vendor Management to complete all necessary vendor reviews.
  • Tracks operational errors including new account opening error resolution reporting and tracking for Retail Leadership.
  • Assists with the training calendar to ensure completion of all required training by the Retail Banking division.
  • Represents the Bank on appropriate committees and projects as necessary.
  • Represents the Bank through participation in various community and industry-related activities. 
  • Adheres to the Bank’s privacy and data security policies including but not limited to safeguarding of sensitive information and complying with relevant regulations to protect non-public information.
  • Exhibits ability and desire to embrace and enhance the Dedham Savings/South Shore Bank cultures.

QUALIFICATIONS

  • Minimum 5 years of Retail Banking experience. 
  • Thorough knowledge of Retail Banking operational functions, systems, procedures, various products and/or services.
  • Ability to write reports, business correspondence, and procedure manuals. 
  • Strong organizational, managerial and project management skills.
  • Excellent interpersonal and verbal and written communication skills.
  • Ability to effectively interact with all Bank departments and levels of management and employees.
