Responsibilities of the Administrative Project Coordinator
- Coordinates and manages executive-level meetings on behalf of the PMO, including scheduling, agenda development, stakeholder communication, and logistics. Develops and prepares executive-level presentation materials for leadership audiences in alignment with PMO messaging standards.
- Develops, compiles, and maintains recurring portfolio-level reports that reflect project/program status, risks, metrics, etc. across the PMO’s portfolio. Validates data from the project managers to ensure reporting accuracy and completeness. Produces reports in formats suitable for executive presentation, governance review, and PMO operational use.
- Serves as PMO’s lead coordinator for core collaboration and workflow tools, including SharePoint, Microsoft Teams, and Service Now. Performs basic site owner-level administration for PMO-managed SharePoint sites, and coordinates with IT on more complex configuration or system-level changes. Identifies opportunities for tool optimization and works with IT to monitor recommended changes through production implementation. Serves as the primary point of contact within the PMO for tool-related questions, troubleshooting, and support.
- Develops and maintains standard PMO templates and tools, including business case, project charter, status report, and other governance-related templates, ensuring alignment with current PMO methodology and standards. Reviews templates periodically to incorporate lessons learned, process changes, and feedback from project managers and stakeholders. Provides guidance and support to project teams on proper template usage and completion.
- Manages small-scale, low-risk projects from initiation through closeout, applying PMO methodology and standard templates appropriate to project size and complexity. Develops basic project documentation and coordinates with stakeholders to ensure timely completion within scope. Escalates issues, risks or scope changes exceeding project thresholds to the PMO Manager or assigned Project Manager as appropriate.
- Performs other duties related to project management as assigned.
Examples of duties
Minimum Requirements- High school diploma and relevant experience.
- Must complete a nationwide criminal background check to include finger printing.
Additional Requirements
- Knowledge of the agency's mission, strategic goals and operational programs. Basic understanding of project management principles, and methodologies.
- Ability to plan, organize, and coordinate multiple work assignments simultaneously.
- Ability to manage work, delegate work with assignment of appropriate priorities, and provide guidance and direction to project teams.
- Ability to communicate effectively to include making presentations and preparing reports.
- Ability to conceptualize needed change and initiate appropriate change management and process improvement activities.
- Knowledge of state government procedures and processes.
- Responsible for assisting the Project Management Officer with coordinating and synchronizing project management efforts internally within the Project Management Office (PMO) and agency wide.
- Works with the Project Management Officer with minimal to moderate supervision to oversee, develop, and maintain PMO efforts.
