Role and Responsibilities

  • Responsible for preparing booth vendor briefs, production and execution of congress content and all materials, adhering to core brand strategy, scientific/congress narrative, messaging and guidelines.

  • Chair and lead cross-functional booth planning team meetings for Tier 1 and 2 congresses, to achieve consensus among cross functional team members regarding content and develop timelines.

  • Manage approvals in accordance with congress organization deadlines (i.e.  submission of booth design) and in parallel advance planning of capacity/resource availability

  • Engage creative medical communication agencies to develop booth materials (panels, interactives, print etc.)

  • Oversee exhibit agency for the execution of the booth design/flow, structure, messaging, visual/interactive elements, distribution materials, and on-site exhibit operations.

  • Reach out to the appropriate leads to gather resources to man the booth and create booth staffing schedule 

  • Plan and coordinate pre congress booth training to explain content and regulations 

  • Onsite booth familiarization walkthrough with comprehensive presentation of all booth content

  • Work on multiple congresses simultaneously, requiring high multi-tasking skills.

  • Demonstrate expertise in scientific data validation for congress content and all materials, to include exhibition booth assets

  • Budget Management: Review and approve all vendor budget estimates, contracts and SOWs;  PO generation, invoice approval with reconciliation

  • Coordinate all peri and on site daily briefings

  • Create individualized KPI metrics and reports per congress

  • Responsible for ensuring BMS improves Congress effectiveness and efficiency while also driving innovative solutions for improving the overall customer experience at Congresses

  • Provide input into and be held accountable for BMS Congress standards

  • Familiar with compliance and legal WW, and local departments to ensure each event is delivered in full accordance with laws and regulations

  • Travel to assigned congresses

  • Support as needed the GCE Lead with sponsorship selection and approval through grants/giving process for Tier 2 and 3 congresses

  • Collaborate and support as needed the Associate Director, GCE, Congress Engagement for the activities related to TL engagements

  • Act as bridge with congress organizers (Congress Sponsorship, Symposia & Booth space, etc)

  • Update Exhibit Force tool for assigned congresses

  • Model BMS behaviors and reinforces such behaviors at all levels in the organization

Qualification & Experience

  • 5+ years Pharmaceutical experience preferred

  • Experience/understanding in content review (medical, legal and regulatory review process) and approvals

  • Demonstrate complex Project planning and management skills with strict adherence to timelines

  • Proven strength at communicating effectively across global audience and negotiation skills

  • Proven ability to balance multiple priorities

  • Demonstrate innovative mindset (simplification - doing things better, faster and more cost effectively)

  • Knowledge of international healthcare customers, stakeholders and influencers and understanding of their needs

  • Ability to flex across different types of cultures, complexities, business situations and matrix partners
