Position Overview

We are seeking a Sr. Executive Assistant to support our leadsership team.

Responsibilities

  • Work collaboratively with C-suite executives on time management in anticipation of requirements and future planning.  Assist in setting daily/weekly priorities. 
  • Resolve and prioritize conflicting needs and orchestrate changes to the calendar, as required, that may require coordination, verification, and scheduling. 
  • Perform a variety of complex and routine administrative and secretarial duties with minimal or no supervision in compliance with oral and written guidance and policies, execute independent decisions within established guidelines, and perform a full range of administrative services, including organizing travel schedule, making appointments, scheduling meetings, and completing expense reports. 
  • Ensure C-suite executives are well-informed of upcoming activities and responsibilities with continual follow-through by coordinating meetings, conferences, speaking engagements, and appointments. 
  • Manage and escort guests upon arrival 
  • Act as liaison for leaders and employees in various areas of the company. 
  • Responsible for developing and managing communications, with very high standards for grammar, spelling, and document formatting 
  • Coordinates logistics for meetings by working with Event team and Facilities. 
  • Handles confidential and highly sensitive information with confidentiality and utmost integrity. 
  • Coordinate comprehensive domestic and international travel logistics for executive leadership, including flights, accommodations, ground transportation, and detailed itineraries, ensuring seamless and efficient travel experiences across multiple time zones. 
  • Balance ad-hoc projects/tasks and urgent deliverables as they arise. 
  • Assist and support other Senior Executive leaders as needed 
  • Provide oversight and guidance to the support staff to ensure smooth daily operations and alignment with organizational priorities.  
  • Serve as point of contact for facility-related inquiries and escalate issues when necessary.  
  • Provide oversight of facility operations on an as-needed basis, coordinating maintenance, vendor services, and office logistics to support business continuity.  

 

 

 

Required Qualifications

  • Bachelor Degree or equivalent experience Required
  • 15 years of direct administrative support experience  required
  • Strong oral and written communication skills
  • Proficient in the Microsoft Office suite

Preferred Qualifications

  • College degree highly desired
