Mission:
The Administrative Assistant will ensure smooth operations in the on-site Shiftsmart office infrastructure. You will be primarily working with the CEO and leadership team to assist in office support and special projects, including but not limited to event planning and coordination, kitchen and office supply restocking, IT/device management, and serving as the liaison with building management. We want to create the best possible workspace for our employees and you will be a critical part of that as we continue to scale.
In this role, you will need to be organized and resourceful and think ahead about what the needs of the employees might be. Your work will directly impact our team members' employee experience!
This role is based in New York City (HQ) with typically 5 days per week in the office.
Outcomes:
Your role will evolve alongside the company's growth, but some of your early responsibilities will include:
Run daily office operations to ensure the space is clean, functional, and welcoming. This will include setting up conference rooms and Zoom technology, managing supplies and kitchen restocking, handling guest check-ins and more
Provide executive and team support, including helping coordinate meals or travel, aiding our executives where necessary, sitting in on meetings, and helping on special projects to further company priorities
Lead employee experience efforts by planning events such as happy hours and team offsites
Serve as an in-office culture ambassador by organizing Friday lunches and keeping track of food preferences/dietary restrictions, birthdays, and employee milestones
Set up new hires for success by preparing desks, tech equipment, welcome boxes, and providing first-day orientation support
Serve as the main point of contact for One World Trade, handling guest registration, building protocols, safety training, and coordinating vendor visits

Role requirements: There will be occasional heavy lifting. Must be able to lift up to 25lbs (i.e. water bottle deliveries)
Nice to Have (But Not Required)
Basic proficiency with software programs (Google Docs, Google Sheets, Zoom, Slack)
Experience in hospitality, office operations, or supporting talent
Compensation philosophy
To provide greater transparency we share base salary ranges, which are based on role and level benchmarked against similar stage, high growth companies. Offers are determined based on multiple factors including skills, work experience, and relevant credentials.
