Job Description
About the role:
Provide administrative support to department management. Global interaction with senior levels of the organization, regulatory representatives and external customers.
How you will contribute:
Coordinate management calendars.
Generate meeting agendas and minutes, in addition to other summary reports (i.e. headcount reports).
Event coordination including meeting and catering arrangements.
Support site internal and external inspections.
Prepare correspondence and complex presentations.
Routing and tracking of documents.
Manage sensitive / confidential information.
Coordinate domestic and international travel arrangements.
Prepare expense reports.
General office duties including: scanning, photocopying, ordering supplies and printing documents.
Manage ordering of materials and support maintenance of laboratory supplies.
Budget adherence as it pertains to office supplies, catering, and ordering of materials.
What you bring to Takeda:
High school diploma or equivalent required.
Minimum of 6+ yrs. experience in an administrative support role.
Experience supporting senior executives or leadership teams
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
Strong written and verbal communication skills
Ability to handle confidential information with discretion
Key Skills, Abilities, and Competencies
Advanced knowledge of software including: PowerPoint, Word, Excel and Outlook.
Demonstrated proficiency with internet applications.
Ability to multi-task and independently manage time.
Must have strong organizational skills and be detail oriented.
Excellent oral and written communication skills.
Must demonstrate ability to work with cross-functional and multi-cultural teams.
Must be able to multi-task and navigate challenges during certain planning activities.
Important Considerations
At Takeda, our patients rely on us to deliver quality products. As a result, we must follow strict rules in our manufacturing facilities to ensure we are not endangering the quality of the product. In this role, you may:
General administrative tasks (desk, computer, filing, copying etc.).
Must be able to lift, push, pull and carry up to 50 lbs.
Office environment.
May work in a controlled environment requiring special gowning and wear protective clothing over the head, face, hands, feet and body. This may include additional hearing protection for loud areas.
Will need to remove all make-up, jewelry, contact lenses, nail polish and/or artificial fingernails while in the manufacturing environment.
May work in a cold, hot or wet environment.
May work around chemicals such as alcohol, acids, buffers and Celite that may require respiratory protection.
Must be able to work overtime as required.
May require occasional off-shift support.
