Job Summary:
Saint Peter’s University is seeking a qualified candidate to join our team as the Assistant Director for Operations in the Office of Student Involvement. The University's main campus is located in Jersey City, a city rich with arts and culture, less than 5 miles from New York City. The Assistant Director for Operations will focus on enhancing the campus experience for students with particular emphasis on programming logistics and the operations of the Student Center Game
Room and Fitness Center. This is a full-time, 12-month position. Ideal candidates will have strong critical thinking abilities, problem-solving skills, and excellent written and verbal communication. A Bachelor’s Degree is required. Experience in event planning or student organization management is preferred.
Programming Logistics and Operations
1. Oversee the operations of the Student Center Game Room and Fitness Center.
2. Work directly with student leaders to plan and execute student organization events.
3. Communicates regularly with Conference/Event Services, Maintenance, IT Client Services, Campus Safety, Cleaning Services and other campus partners regarding the coordination of events and the set ups needed for each.
4. Works directly with Information Technology (IT) as issues arise with the office printer, office copier, and/or other technology in the office.
5. Collaborates with Campus Safety and other campus partners to ensure all resources are in place for events with special emphasis on risk management planning.
6. Works directly with professional speakers, entertainment companies and venues to coordinate events and deliveries.
7. Works directly with the college ring company and yearbook company to coordinate services and outreach to students.
Supervision
1. Directly supervise student workers in the Office of Student Involvement and the Student Center.
2. Responsible for the hiring and training of student workers.
Technology
1. Utilizes a student engagement platform (i.e. Campus Groups) to coordinate events and student organization logistics.
2. Serve as an event approver for the Event Management Booking software for the university.
3. Manages the departmental social media accounts, with assistance from student leaders, to ensure timely posts and virtual engagement.
4. Regular use of the Microsoft Office Suite (i.e. Microsoft Word, Microsoft Excel, etc.) and the Google Suite (i.e. Google Docs, Google Sheets, etc.).
Budgeting and Finances
1. Oversight of programming and operational budgets in conjunction with the Director of Student Involvement.
Departmental Requirements
1. Accurately disseminate information to internal and external constituents regarding events, student leader trainings, and all office operations
2. Attends and participates in regularly scheduled staff meetings and individual meetings with the supervisor
3. Report writing as requested by supervisor
4. Participates in marketing efforts put forth by the department, which may include participation in Accepted Students Days, Open House, etc.
5. Approaches work with a problem-solving lens to provide excellent service to students
