As part of the Client Services team, you’ll be responsible for the following:

Senior Project Manager supports the daily activities of high-volume medical communication deliverables and live/virtual meetings and events. This is a hands-on, detail-orientated position that provides an excellent opportunity for growth and advancement.

Primary duties and responsibilities include but are not limited to:

Project Management:

  • Traffic all projects between account, medical, editorial, and support services including creative, digital and Omnichannel teams
  • Facilitate material to vendors via email, FedEx, Webcargo
  • Develop timelines
  • Provide meeting planning services including logistics and materials preparation for advisory boards, scientific exchange forums, annual conferences and trade shows in addition to an array of other industry meetings

Compliance, Documentation and Operational Expectations:

  • Provide quality and version control of projects
  • Manage project files and folder maintenance with an emphasis on version control
  • Comply with established standards, policies, and procedures
  • Maintain timely submission of timesheets
  • Perform periodic audits for project compliance
  • Professional, timely response to all internal and external communications
  • Prepare writer request forms
  • Prepare writer packages (i.e. references, final outline, etc.)
  • Prepare and complete billing code request forms (BCRFs)
  • Assign and close project numbers, run hours reports, communicate information to team, monitor projects to ensure all team members are assigning time correctly
  • Gather information, maintain, and update status reports based on internal and client status meetings
  • Exhibit ability to take on additional tasks as needed while maintaining consistent performance
  • Assist with client invoicing, as needed

Team Management:

  • Prepare writer request forms
  • Prepare writer packages (i.e. references, final outline, etc.)
  • Assign and close project numbers, run hours reports, communicate information to team, monitor projects to ensure all team members are assigning time correctly
  • Gather information, maintain, and update status reports based on internal and client status meetings
  • Lead internal status meetings
  • Set up conference calls and webinars
  • Serve as client and author point of contact
  • Research relevant journal and congress databases to update grids used by the internal and client teams for submission guidelines, deadlines, and notification dates
  • Ability to self-prioritize
  • Exhibit proactive problem-solving skills and offer recommendations
  • Ability to transfer skills learned to new accounts/responsibilities
  • Participate in client status meetings
  • Monitor project performance (time used vs. budget), identify potential out of scope and discuss with account lead

What you'll bring:

  • Bachelor’s degree in marketing, communications, biology, life sciences, or related field
  • Minimum of 3 years’ direct Project Management in general business, pharmaceutical and/or m
