The PMO Administrative Assistant is responsible for providing comprehensive administrative support to the Polaris Program Management Office (PMO). This role involves assisting with scheduling, planning, change control, reporting, and other data-intensive tasks to ensure the smooth operation of the PMO. The PMO Administrative Assistant has a vital support role within the Project Management Office, ensuring that administrative tasks are handled efficiently and effectively. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. By providing essential support to the PMO, the Administrative Assistant contributes to the overall success of the organization's Program Management efforts.
EDUCATION & QUALIFICATIONS:
- High School diploma or equivalent; an associate degree or higher in business administration or a related field is preferred
- Previous experience in an administrative role, PMO admin experience a plus
RE S P O N S I B I L I T I E S:
- Assist in scheduling meetings, preparing agendas, and taking and distributing notes and action items
- Manage calendars and coordinate appointments for PMO staff
- Maintain and update PMO related documentation as needed
- Ensure PMO documents are properly filed and secured
- Assist in the preparation of status reports and presentations
- Support the change control process by tracking change requests and ensuring proper documentation is attached
- Assist with the planning and execution of PMO sponsored events and meetings and coordinate with vendors, as needed
- Support other administrative tasks as needed
SPECIAL SKILLS:
- Fast and accurate typing skills
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- proficiency in Microsoft office Suite(Word, Excel, PowerPoint, Outlook)
- Ability to handle multiple tasks and prioritize effectively
- Attention to detail and accuracy in work
- Familiarity with Smartsheet is a plus
