The Executive Assistant provides trusted, high-level administrative support to the General Counsel / EVP of the Company, who runs a 100-person legal team plus the company’s real estate property management business and the family office. This position entails managing time, priorities, and initiatives with precision, discretion, confidentiality, and foresight. This role requires a proactive, quick-learning professional with exceptional organizational skills, strong attention to detail, and a positive, can-do mindset. While the role is primarily administrative in nature, it also requires a partnership-oriented approach, working closely with the General Counsel and collaborating regularly with leaders and teams across the organization.
In addition to supporting the General Counsel, this role provides administrative and coordination support to the transactional side of the Legal team. The ideal candidate thrives in a structured, fast-paced environment, effectively manages multiple priorities and urgent demands, and takes pride in enabling executive and team success through thoughtful, high-quality support.
This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.
Job Description
Executive & Strategic Support
- Provide high-level administrative support to the General Counsel, managing a complex calendar, priorities, deadlines, and detailed logistics.
- Anticipate needs and gather materials for meetings, presentations, correspondence, and calls.
- Partner closely with members of the Legal, Real Estate, and Family Office teams to gather, synthesize, and communicate information.
- Arrange complex travel with contingency planning and submit timely, accurate expense reports.
- Support special projects and cross-functional initiatives.
Operational & Administrative Excellence
- Manage competing priorities and resolve issues with sound judgment, urgency, and discretion.
- Analyze and synthesize information from multiple sources into clear summaries, insights, and action items.
- Track and support budgets, timelines, and operational updates.
- Maintain organized digital and physical files, ensuring secure handling of sensitive materials.
Events & Coordination
- Plan and execute department meetings, offsites, and events, ensuring seamless logistics and budget discipline.
- Coordinate internal and external meetings and ensure follow-through on action items.
Communication, Professionalism & Confidentiality
- Serve as a professional point of contact for internal and external stakeholders, screening and responding to communications on behalf of the General Counsel.
- Facilitate clear, timely communication across executives, teams, and partners.
- Handle sensitive information with the highest level of confidentiality and professionalism.
- Collaborate effectively with other Assistants and foster a culture of teamwork and mutual respect.
Qualifications
- Minimum of 5 years of executive-level administrative experience supporting senior leadership, with a proven ability to manage high-volume, complex responsibilities.
- Bachelor’s degree preferred; equivalent work experience with a demonstrated record of success in high-level executive support will be considered.
- Advanced proficiency in Microsoft Office, including the ability to create presentations, manage calendars, and develop basic reports.
- Exceptional organizational skills, attention to detail, and sense of urgency, with the ability to manage competing priorities.
- Demonstrated ability to handle confidential information with discretion, tact, and professionalism.
- Strong written and verbal communication skills, with the confidence to interact effectively with senior leaders and external partners.
- Experience working in a fast-paced, matrixed organization supporting cross-functional teams is strongly preferred.
- Experience with tools such as iManage is a plus, but not required.
Pay Range: $39.00 - $41.00 an hour. Final compensation will be dependent upon skills & experience.
