The University of Maine System is accepting applications for an HR Project Assistant (Conf) CL2 (HR Project Assistant). The HR Project Assistant handles essential administrative tasks such as maintaining employee records, triaging payroll, benefits, and general employment-related questions, coordinating recruitment efforts, and managing onboarding procedures. Additionally, they act as a point of contact for the Office of Human Resources and contribute to improving workplace efficiency. This position will sit on the University of Maine at Presque Isle campus in the Office of Human Resources (HR).
Key Responsibilities Include:
- Handle incoming calls, emails, and correspondence related to HR inquiries.
- Composes, edits, organizes, and reviews a variety of standard and/or specialized correspondence, reports, documents, applications, forms, memos, and/or other applicable materials. Items may include assisting with new hire information for press releases, communications for the internal campus newsletter, etc.
- Organizes and maintains records, including creating, scanning, and maintaining confidential department/employee files such as performance reviews.
- Assisting with recruitment efforts, including (but not limited to) creating job postings, external and internal position advertising, and interview coordination.
- Coordinate pre-employment checks including background checks and post-offer physicals.
- Prepare and distribute offer letters and onboarding materials for new hires.
- Assisting with employee onboarding tasks such as (but not limited to) verifying worker authorization forms (Form I-9), onboarding emails to campus stakeholders, and troubleshooting technical issues with new employees.
- Supporting employee engagement initiatives and activities including planning and purchasing.
- Supporting employee wellness initiatives including managing Gentile Hall fitness vouchers.
- Managing accounts payable to include purchase order processing and invoice setups.
- Tracking and monitoring the staff development budget.
The hours are Monday through Friday from 8 AM to 4:30 PM, with some flexibility on either side. This position reports to the Director of Human Resources and is an integral part of a dynamic team.
Salary: The starting wage for this position is $20.28 an hour (non-negotiable).

Qualifications
Required:
- 3+ years of administrative, project support, or comparable experience; combined with some college. Bachelor’s degree a plus.
- Ability to work well with many people at all levels of an organization.
- Must have a close attention to detail, solid organization, and possess solid independent judgment, initiative, and confidentiality.
- Aptitude for problem-solving, logistics, interpersonal communication, and exceptional customer service
- Data and Microsoft Office proficiency (intermediate to advanced). Google platform knowledge a plus.
