Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a reliable and detail-oriented Accounting Specialist. This job reports to the Accounting Manager in the Finance Department of PPFA. The Finance Department provides confidence to all stakeholders in the fiscal and fiduciary responsibility of Planned Parenthood Federation of America (PPFA), Planned Parenthood Action Fund (PPAF) and its related entities, and Planned Parenthood Global (PP Global) and its related entities (collectively the Organizations) with a commitment to customer service, sound controls, compliance monitoring, and timely, accurate, and complete reporting, analysis and decision support to further the Federation’s mission.
Purpose:
The Specialist sustains the team’s performance by managing information flow within and outside the team relating to the accounts payable and receivable functions. They anticipate the team’s needs, and identify possible roadblocks, to guide the leader/s and/ or team by recommending possible solutions.
Delivery:
●Primarily responsible for entering invoices into the accounting system, performing 3-way match as well as confirming the invoice codes with the Grants team●Facilitate payments to vendors via PPFA’s bank platform●Triage incoming emails to the Accounts Payable and Receivable inboxes, ensuring excellent and timely customer service●Identify and incorporate improvements to AP/AR processes due to changing operational conditions/demands●Reconcile accounts payable and receivable accounts, works with vendors and/or departments to resolve discrepancies timely and accurately in accordance with Finance’s month-end close calendar●Provide project management and administrative support to the accounting manager on team initiatives and goals
Engagement:
●Closely partner with accounting manager and team members to process payments and manage accounts receivable ●Collaborate with departments within the organization and vendor/ external partners ●Recommend and implement process improvements to ensure efficiency and streamline internal and cross-team tasks●Communicate with internal and external stakeholders to ensure sustained delivery of the services provided by the accounts payable and receivable team
Knowledge, Skills and Abilities (KSAs):
●Bachelor’s degree required along with some experience in Finance●Demonstrate superior customer service with internal and external customers●Ability to respond to all inquiries in a timely, tactful, and professional manner. Owns the accounts payable and receivable brand●Ability to work collaboratively and flexibly with a dynamic, fast-moving team, completing multiple tasks with poise, accuracy, and confidence●Strong organizational, analytical, and problem-solving skills●Strong oral and written communication skills●High proficiency in Google products a plus●Flexibility and ability to adapt to quickly changing priorities and ambiguous situations ●Commitment to PPFA’s mission and diversity, equity, and inclusion, particularly surrounding race equity●A deep commitment to Planned Parenthood’s mission of promoting Sexual and Reproductive Health
