Schedule: Monday - Thursday 6:30 am - 12:00pm , 1:00 - 4:00 pm

Every other Friday 8 am - 12 pm

More about the position: 

We are a busy practice hoping to find an experienced dental patient care coordinator to join our front office team.

 

Motivation and passion for patient care is a must.  We focus on quality in our relationships with patients, our systems and our communication. We use lots of technology to make every position simpler so having these skills is important

Responsibilities

A patient care coordinator plays a vital role in ensuring smooth operations and delivering an excellent patient experience.

Their responsibilities go beyond basic administrative tasks to include proactive communication, patient advocacy, and coordination of care.

Here's a breakdown of key responsibilities:

1. Patient Experience & Customer Service

  • Greet patients warmly in person and over the phone, ensuring a positive first and lasting impression.

  • Provide clear, compassionate communication regarding procedures, financials, and next steps.

  • Manage patient concerns and complaints professionally, escalating to the appropriate staff when necessary.

  • Ensure patient satisfaction before, during, and after visits.

2. Scheduling & Appointment Management

  • Coordinate and optimize the provider’s schedule for maximum efficiency and patient convenience.

  • Confirm appointments and follow up on no-shows or cancellations.

  • Ensure timely recall and reactivation of inactive patients through effective scheduling systems.

3. Treatment Coordination

  • Educate patients on proposed treatment plans, procedures, and post-op care, answering any questions they may have.

  • Present treatment plans with confidence and clarity, ensuring patients understand clinical and financial aspects.

  • Coordinate with clinical staff to ensure seamless execution of treatment plans.

4. Insurance & Financial Coordination

  • Verify insurance coverage, benefits, and eligibility before appointments.

  • Accurately explain insurance estimates, co-pays, and financial responsibilities to patients.

  • Assist patients with payment options, including financing plans or third-party payment services.

  • Process claims and follow up on outstanding claims or denials.

5. Communication & Team Collaboration

  • Serve as a liaison between patients and the clinical team to ensure clear communication and patient follow-through.

  • Work closely with dentists, hygienists, and other staff to ensure smooth handoffs and comprehensive care.

  • Participate in daily team huddles and contribute to a positive team culture.

6. Administrative Duties

  • Maintain accurate and up-to-date patient records in the practice management software.

  • Monitor and respond to patient communications via phone, email, or text promptly.

  • Ensure compliance with HIPAA and other regulatory standards.

7. Metrics & Performance Tracking

  • Monitor KPIs such as case acceptance rates, reappointment rates, and collections.

  • Identify and help implement improvements to enhance office productivity and patient care.

Qualifications

  • High school diploma
  • 2 or more year
