FLSA Status:             Full-Time / Non-Exempt

SUMMARY

The Administrative Assistant, Marketing is responsible for assisting the Preconstruction and Administration department with planning and coordinating activities and will provide management support and document control. The ideal candidate must perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, providing information to visitors and callers.  This individual must have the ability to support the department in resolving problems as they arise.  They must be reliable, punctual, organized, detail-oriented and have a demonstrated ability to juggle multiple priorities in a very busy office.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Prepare prequalification packages
  • Maintain prequal database
  • Prepare project proposals.
  • Prepare marketing packages
  • Prepare for Sales meetings
  • Manage customer recognition and relations 
  • Maintain multiple databases of historical sales data
  • Support internal, external and outreach events
  • Coordinate Association communications such as NECA, AGC, ASA, SDDP and Charity Events including organizing Dyna materials and industry recognition
  • Prepare powerpoint and video presentations for company events
  • Perform additional assignments as required by the company or as directed by management
  • Comply with all company operating policies, procedures, and safety requirements.
  • Comply with EMCOR’s Values, Business Code of Conduct, and Business Ethics.
  • Able to work 40 hours per week in San Diego (El Cajon) office.

QUALIFICATIONS

 PREFERRED EDUCATION and/or EXPERIENCE

  • Prior experience handling office responsibilities, experience in customer service, or related field
  • High school diploma or GED required
  • Bachelor’s Degree or currently pursuing preferred
  • Working knowledge of the construction industry, operations management, and safety practices a plus
  • Working knowledge of federal, state, and city regulations and guidelines

COMPUTER SKILLS

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars. Visio and Outlook a plus.
  • Familiarity with project management/document control software.
  • Working knowledge of project and financial software a plus.
