Corporate Communications Executive Assistant

CONTEXT
We are recruiting to complete our Group Corporate Communications team in Geneva. The Corporate Communications Executive Assistant will report to the Group Corporate Communication Director, and additionally support the Group Internal Communication Director as well as the Group External Communication Director.
The dynamic nature of this role requires that the ideal candidate have exemplary time management and interpersonal skills to prioritise an evolving workflow, while seamlessly supporting the directors of the team.
HOW WILL YOU MAKE AN IMPACT?
Reporting to the Group Corporate Communication Director, this role will have the responsibility of handling transversal activities in support of both external and internal corporate communications this position, including but not limited to:
Managing the Group Corporate Communications Director’s calendar and providing support for the External and Internal Communications directors:
- Coordination and management of agendas
- Scheduling meetings
- Managing travel arrangements
- Preparation and submission of expense reports
Work collaboratively with the department’s wider team to assist in:
- General department administration, such as processing POs and invoices
- Event organisation
- Registration of suppliers/agencies in line with the department’s budget
- Document/report processing and filing (print and online)
- Monthly consolidation of expense procedures for certain specific events.
- Scheduling of re-occurring departmental meetings
- Assisting in the preparation and distribution of meeting agendas/materials and preparation of power point presentations or financial spreadsheets.
HOW WILL YOU EXPERIENCE SUCCESS WITH US?
- Bachelor’s degree preferred
- A minimum of five years’ experience in supporting a senior executive and preferably additionally supporting a team (in a dynamic environment)
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
- Exceptional writing, editing, and proofreading skills
- Excellent organisation and time management skills
- Impeccable interpersonal skills, with a can-do attitude
- Bi-lingual English and French required
