What You’ll Be Doing

The  Office Manager  provides direct day-to-day support and coverage for CIBC’s US Capital Markets businesses.  This role will focus primarily on Corporate Banking with opportunity to help on other ad-hoc initiatives supporting our US Capital Markets platform. The Office Manager  will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for senior members of the U.S. Corporate Banking team. Will provide high-level administrative support by periodically preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, and scheduling meetings.

How You’ll Succeed

  • Build and maintain strong working relationships with partners across the different businesses/verticals that support our front line staff including business management, IT technical support, human resources, and other functional groups across CIBC Capital Markets.

  • Calendar management of senior members of the U.S. Corporate Banking team.

  • Coordination of business entertainment including client dinners and industry events/conferences, in collaboration with the U.S. events team as required

  • Organizing team events such as off-site conferences and team building / social gatherings

  • Expense management and arrangement of travel.

  • Onboarding of new hires to the New York Corporate Banking team.

  • Occasional travel with the team to provide logistical and administrative support to CIBC sponsored events.

  • Assist as needed with printing and binding of presentation materials for members of the U.S. Corporate Banking team.

  • Coordinate with CIBC IT Technical Support to resolve any urgent information technology issues.

  • Coordinate with building management to manage the arrival of guests to the New York office. 

  • Responsiveness and accessibility to the business throughout the day; be proactive in response to information requests and promptly resolve any day-to-day service or business related issues.

  • Return To Office Management and Support

  • Receptionist duties - Maintain meeting room calendar and COVID protocols, circulate internal notices, prepare client messaging, organize technology, prepare room, meet/greet clients, tidy room afterwards

  • Whistler Conference – Activities and Dine-Around management

  • Business/Client Newsletters – Maintain Distribution Lists and Distribution

  • Events Tracking & Management

  • Event Management and Local Support (e.g., winter ski event (Colorado) and summer sailing event (Chicago))

  • Bespoke client events, every 1-2 months (typically managed locally)

  • Accounts Payable

  • Vacation Tracking

  • Booking travel

  • Onboarding/Offboarding – Ensure new employees have all tools and information needed. Or ensure offboards are respectfully locked down and all assets returned

  • Network Access Qualifications and Approvals

  • Pass card and Access Management Requests

  • Renovation Projects Single Contact

  • Building Operations Liaise

  • Cleaning Staff Liaise

  • Kitchen equipment supplies - Order, Stock, Clean, Maintain

  • Print Room equipment & office supplies – Troubleshoot, Order, Stock, Clean, Maintain

  • Shipping/Receiving across the business

  • Oversee Health & Safety Requirements / Documentation

  • Oversee Floor Wardens

  • Business Continuity Plans (BCP)

  • Call Tree Exercises and Processes (as part of BCP)

  • Office Records Management

  • Client Invoicing

  • Client Database Management
