Administrative Assistant supports the Board of Directors and, to a lesser extent, other Physician Leaders and Operation Leaders. The Administrative Assistant will perform the full range of office and management support functions including, but not limited to, coordinating schedules, travel, meeting locations and accommodations and/or related documents. Tracking and communicating of materials, data, and files.
Responsibilities include:
• Supporting and providing assistance to physicians and others while maintaining a high level of confidentiality.
• Compiling and preparing meeting materials and agenda topics.
• Conducting meeting follow-through and related tasks. Meeting set-up and clean-up.
• Scheduling and coordinating staff attendance at various functions throughout the area and statewide as required.
• Placing and/or receiving phone calls, sending/receiving/reviewing/ forwarding e-mails, and other in-going and out-going confidential correspondence, sorting, and delivering mail, etc.
• Coordinates calendars, conferences, meetings, and appointments.
• Making, confirming, and following up on travel arrangements and related activities.
• Provides telephone support for Directors.
• Working with vendors, contractors and others that have business with Panoramic Health.
• Compiling, developing, and presenting a variety of regularly scheduled and/or ad hoc narrative, statistical and/or other reports and materials.
• Working with and in complex filing systems.
• Providing support and assistance to office staff and others that have business with the company.
• Perform other duties and responsibilities as required, assigned, or requested.
Qualifications:
• Associates degree OR any equivalent combination of education and experience from which comparable skills and experience have been obtained.
• Minimum 2 years of recent, relevant high level office support experience in a medical office/practice.
• Typing at 60-75 wpm required.
• Intermediate to advanced skills in Microsoft Office, including Word, Excel, PowerPoint, and Outlook required.
• Ability to be professional, communicate effectively and interact with Senior Level Management and BOD's.
