Job Description:

This is an exceptional opportunity to join a high-growth hospitality and real estate company as they scale their operations across multiple business divisions. As an Executive Assistant - focused on Property and Development, you’ll play a crucial role in streamlining processes, supporting senior leadership, and driving operational efficiency improvements across hotels, serviced apartments, co-working spaces, and restaurants. This 3-6 month contract position offers the unique chance to make an immediate impact by identifying process inefficiencies and implementing AI-driven solutions while supporting critical expansion activities. You’ll work in an entrepreneurial environment where your organizational expertise and process optimization skills will be essential to supporting the company’s ambitious growth from 500 to 5,000 room keys by 2030.


Responsibilities:
  • Manage administrative and contract-related tasks across multiple business divisions including hotels, serviced apartments, and restaurants
  • Handle contract paperwork and documentation for new business agreements and partnerships
  • Identify process inefficiencies and recommend modern workflow improvements using AI tools and automation
  • Provide comprehensive diary management and executive scheduling support for senior leadership team
  • Coordinate complex travel arrangements including transportation and accommodation for expansion activities throughout Northern England
  • Organize and manage site visits with third-party developers, designers, and construction partners
  • Support project management activities related to hotel acquisitions and real estate development projects
  • Analyze and optimize financial processes such as credit card reconciliations and accounting workflows
  • Prioritize and manage multiple concurrent projects across different business units simultaneously
  • Interface with external stakeholders including developers, contractors, and business partners


Requirements

  • Proven executive assistant experience with strong organizational and administrative capabilities
  • Project management experience or background in coordinating complex initiatives
  • Ability to work UK office hours (9 AM - 6 PM) with full availability during business hours
  • Basic understanding of AI applications for process improvement (technical development skills not required)
  • Experience thriving in fast-paced, entrepreneurial environments with dynamic leadership
  • Hotel, hospitality, construction or real estate industry experience strongly preferred
  • Construction, design, or property development background highly beneficial
  • Procurement or vendor management experience advantageous
  • Previous experience supporting startup founders or entrepreneurial executives preferred
  • Exceptional ability to prioritize competing demands and manage multiple concurrent projects
  • Strong communication skills for interfacing with senior management and external partners
  • Comfort working with confidential business information and sensitive contract documentation
  • Self-motivated with ability to work independently while maintaining team collaboration
