Purpose
To manage the administrative support services of the School of Journalism and Media and support the Director and School leadership on complex issues of academic administration and management.
Responsibilities
Coordinates, plans, and/or provides administrative oversight to School activities and events (including conferences, panels, and camps) with the Director, Faculty, and Staff. Provides administrative oversight of department communications including unit website, social media platforms, and other internal and external communications from the School. Meet with the Director regularly to discuss department operations. Initiate discussion and inform the Director of upcoming deadlines, on-going processes, and other departmental updates.
Directly supervises department staff. Establishes priorities, procedures, and deadlines. Sets work schedules and reviews work priorities for staff. Evaluates progress and overall work performance. Coordinates the overall human resource function for the School. Provides administrative stability and leadership to the Director, Faculty, Staff, and Students by balancing the sound use of independent judgment with appropriate consultation.
Coordinates planning academic undergrad and graduate course offerings each semester and manages it within instructional budget limits and projections, maximizing undergraduate student credit hours and other university, college, and unit priorities.
Supervises all operational aspects of the Faculty recruitment process. Advises the Director and other Faculty of the need for temporary Lecturers. Coordinates recruitment and hiring process for temporary Faculty.
Serves as front-line coordinator and advisor to faculty concerning promotion process and works with the Director, School's Budget Council, and Dean's Office to assemble dossiers and ensure compliance with all procedures and requirements. Initiates and coordinates preparation of materials for mid-tenure and post-tenure reviews. Attend and participate in School, College and University meetings, trainings, events.
Ensures compliance and consistency with System, University, College and unit policies, procedures and systems. Ensures compliance with Federal/State laws, University, college and School policies. Seeks and provides information to the Director, Faculty, Staff and grad students to guide compliance with policies and procedures. Reports procedure/policy changes to the appropriate groups. Develops and generates numerous reports. Writes, maintains, and ensures compliance with policies and procedures.
Responsible for overall workflow of School business. Sets priorities and timelines. Manages fiscal affairs for the School, in close coordination with the Director, Staff members, and the Dean's Office. Oversees all financial matters, providing planning and oversight for the instructional budget, operations, classified staff, faculty, graduate assistants, fees, recruitment, travel, grants, conferences, scholarships, and other unit expenses and revenues.
Other related functions as assigned.
Required Qualifications
Bachelor's degree and five years of responsible level experience in program management and coordination of programs, or Masters degree and three years of above experience. Proven ability to prioritize responsibilities and manage concurrent projects, while maintaining a high level of accuracy and attention to detail. Ability to meet overlapping deadlines. Demonstrated strong organizational skills. General financial and budgeting knowledge. Excellent interpersonal, oral communication, and writing skills. Demonstrated analytical, problem-solving and critical thinking skills. Demonstrated ability to perform work independently. Experience supporting faculty and staff.
Relevant education and experience may be substituted as appropriate.
