It takes all kinds of people thinking in unconventional ways—with a singular focus.   Position Summary: The Client Services Team Assistant supports the Client Service Team in all aspects of daily operations to ensure seamless delivery of service to clients.  The Client Services Team Assistant plays a vital role in providing operational support to include, coordinating client communications, and maintaining high standards of efficiency, accuracy and client satisfaction.

Essential Job Functions of the Client Services Team Assistant:

  • Deliver exceptional service by communicating clearly and effectively with clients and internal team members and resolving issues in a timely and professional manner.
  • Respond promptly to requests and inquiries, resolving issues with a client-first approach
  • Handle client calls and assist in resolving routine questions, transactions and service requests with professionalism and precision.
  • Monitor and follow-up with Client Service staff on recurring tasks, including overdraft remediation and account reviews to ensure compliance and operational efficiency.
  • Distribute and track weekly and monthly reports, following up on items requiring action. 
  • Maintain organized and accurate electronic account files including trust account. documentation and correspondence to ensure consistency and compliance with policies.
  • Utilize internal CRM platform and trust accounting system to complete administrative services including account maintenance, report generation and document management.
  • Support Team Leaders and Chief Client Service Officer with scheduling, agenda preparation, meeting notes, and follow – up on action items.
  • Answer incoming phone calls and provide coverage and support to team members. Manage administrative and operational tasks, including client letters, check processing, class action distributions, and account documentation.
