About the role

We are looking for an enthusiastic and talented professional with passion for contributing to the San Juan, Puerto Rico office team in the administrative area. This person will provide expert and high-quality advice in the development of daily, weekly and monthly office activities to ensure the smooth running of the office.

Responsibilities

Responsible for providing administrative support to the Puerto Rico office team.

- File and digitalize correspondence and documentation.

- Fill out forms, make calls, attend pre-proposal meetings, draft documents, among other activities associated with bids and projects that the company and the Puerto Rican Office is executing.

- Coordinate the maintenance and adequacy of the office facilities.

- Coordinate processes regarding hiring contractors and suppliers’ hand on hand with the Office Leader.

- Process policies for bids and contracts with clients.

- Process legal registrations of the company such as: the renewal and/or update of commercial certifications, supplier registrations with clients, apostilles, etc.

- Direct support to the Office Leader performing tasks such as:

- Quoting and/or purchasing cleaning supplies, stationery, cafeteria, and furniture, etc.

- Coordinate the logistics of meetings and events.

- Quoting and coordinating stays and travel for the company's team.

- Coordinate messaging services and carry out formalities and errands.

- Updating the company's strategic contacts database.

- Distribute the company's periodical publications.

- Attend to additional requirements that are raised.

Requirements

o Business Administration, Accounting, or related careers student, who is in his/her last semesters.

o Student aspiring to an academic internship.

Knowledge in:

o Basic to intermediate knowledge of accounting

o Intermediate Microsoft Excel

o Advanced English - oral and written

Skills:

o Time management

o Adaptability

o Teamwork

o Management and planning

o High levels of organization

o High levels of written and oral communication skills

Desirable:

o Professional degree in Business Administration, Accounting or related careers.
