CLASSIFICATION:     Full Time, 1.0 FTE

FLSA STATUS:            Non- Exempt 

LOCATION:                Portland, OR

COMPENSATION:     $20.19 - $23.07 DOE

POSITION SUMMARY

The Fiscal & Administrative Support Specialist provides overall administrative support to the leadership team of the Youth Empowerment & Violence Prevention department.. The Fiscal & Administrative Support Specialist also assists with data entry support, contract management, monitoring program expenditures, and preparing client assistance logs. Part of a dynamic team providing critical services to families, this position provides overall administrative and logistical support to ensure our programs run smoothly and to facilitate positive participant experience.  The position requires flexibility, attention to detail, and a desire to work collaboratively to positively impact families and communities.


PRIMARY DUTIES AND RESPONSIBILITIES

  • Support the YEVP program teams with their activities, services, and events
  • Schedule and manage logistics for meetings.
  • Respond to incoming calls and referrals in a timely manner.
  • Provide administrative support to the department’s leadership team.
  • Develop and maintain client assistance tracking systems for department.
  • Participate in department and agency staff meetings and trainings.
  • Data entry into Multnomah County and Latino Network case management software.
  • Meet deadlines for mileage, program expense reimbursements and timesheets.
  • Support department special projects. 
  • Support management of grants and contracts.
  • Develop and maintain program expense tracking systems for department.
  • Review invoices for accuracy.
  • Meet data deadlines to ensure reports are completed on time.
  • Maintain punctual, regular and predictable attendance.   
  • Work collaboratively in a team environment with a spirit of cooperation.
  • Comply with the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and existing confidentiality laws.
  • Other duties as assigned by supervisor.


Requirements

SKILLS, KNOWLEDGE AND EXPERIENCE

  • Bicultural proficiency: knowledge of Latinx culturally based worldview, adaptive reasoning, and problem-solving practices of Latinx individuals, families, and community living in urban neighborhoods impacted by crime, poverty, and racial inequity. 
  • Bilingual required: strong oral and written communication skills in Spanish.
  • Knowledge of and experience working with families in the Latino community.
  • Strong desire to promote social justice with and for Latino youth & families.
  • Ability to work well independently and within a team.
  • Ability to be flexible and creative in the work environment.
  • Ability to coordinate multiple priorities.
  • Excellent follow-through and attention to detail.
  • Data entry experience preferred.
  • Strong computer skills including Word, Excel, Power Point.
