Summary

OneStream Software is looking for a Manager of Executive Administration to join our Administration team. In this role, the Manager, Executive Administration, is responsible for overseeing the executive support function, ensuring seamless operations for the executive. This role involves managing a team of Executive Assistants and Administrative Assistants, providing administrative support, coordinating executive communications, and handling confidential and strategic information. The Manager will act as a key liaison between the executive assistant team and internal/external stakeholders.

 

Primary Duties and Responsibilities

  • Manage, mentor and guide a team of Executive Administrative Assistants/Administrative Assistants to provide exceptional administrative support to the executive leadership team.
  • Decision making on hiring, budgeting, setting objectives and shaping policies, alongside cross functional partners
  • Establish standards and best practices for executive support, ensuring the team operates efficiently and professionally.
  • Establish performance standards, goals and metrics for the broader teams’ long-term objectives. Driving execution for the team’s initiatives that fit into the overall company plans.
  • Develop and implement systems and processes to improve the efficiency of executive assistant operation.
  • Draft, proofread, and edit executive communications, including emails, reports, and presentations.
  • Manage budgets, invoices, and expenses for the executive assistant team, ensuring accurate reporting and adherence to financial guidelines.
  • Oversee the scheduling and coordination of executive calendars, meetings, and events to optimize time and priorities.
  • Manage complex travel arrangements, including international and domestic flights, accommodations, and logistics for identified executives.
  • Assist with timely expense reporting for identified executives.
  • Organize and execute events, meetings, and conferences, including logistics, agenda preparation, and follow-up.
  • Lead and coordinate special projects on behalf of the identified executives, ensuring deadlines and objectives are met.  Track project progress, provide status updates, and anticipate potential challenges or roadblocks.
  • Serve as a liaison between executives and key stakeholders, including cross-functional partners, board members, clients, and vendors.

 

Required Education and Experience

  • Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience)
  • 5-10 years of experience in executive administration or executive support, with at least 2 years in a supervisory or leadership role.
  • Experience working with C-suite executives or high-level stakeholders in a fast-paced environment
  • Experience in a public corporate environment, preferably global.

 

Knowledge, Skills, and Abilities

  • Familiarity with project management tools and techniques.
  • Exceptional organizational and multitasking skills with a high attention to detail.
  • Strong written and verbal communication skills, including the ability to draft professional correspondence.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Outlook, Google Calendar).
  • Strong problem-solving skills and the ability to anticipate needs and provide solutions proactively.
  • Excellent interpersonal skills and the ability to build strong relationships with team members, stakeholders, and external partners.

 

Supervisory Responsibilities

  • This role will oversee ~10 team members.

Travel

  • Travel Requirement: up to 15% Travel may be required for this position.
