Summary

Under direct supervision, is responsible for general secretarial duties; prepares basic reports; maintains computerized files; and performs related duties as required. This position is not covered under Civil Service

Duties and Responsibilities:

  • Types moderately complex letters and memos utilizing a personal computer, typewriter and/or word processor 

  • Maintains statistics and develops reports 

  • Enters and updates data in a personal computer or CRT utilizing spreadsheet or database applications 

  • Answers telephone, routes calls and takes messages utilizing some discretion 

  • Develops and maintains files 

  • Accesses and files information 

  • Opens and distributes mail 

  • Copies information and distributes to appropriate location 

  • Responds to general questions and complaints regarding department or work 

  • May order and maintain supplies 

  • Performs related duties as required

Minimum Qualifications:

  • Graduation from High School or a General Education Development (GED) certificate; and two (2) years general office experience including at least one (1) year secretarial experience; or equivalent combination of education and experience 

  • Transcribes complex information utilizing Dictaphone 

  • Good knowledge of office procedures. 

  • Knowledge of English spelling, grammar and punctuation; knowledge of word processing, database or spreadsheet software packages 

  • Skill in operating a personal computer, typewriter and basic office equipment. (Requirement); skill to type 45 wpm with no more than 7 errors 

  • Ability to accurately enter data and file information; ability to understand and follow verbal and written instructions; ability to transcribe machine dictation; ability to establish and maintain effective working relationships with co-workers, other County employees and the general public 

  • Must secure and maintain a favorable background investigation from the Bexar Criminal District Attorney's Office 

  • Must clear a pre-employment physical

  • May be required to work more than 40 hours during the workweek 

Working Environment and Physical Demands:   

  • Constantly working in indoor conditions 

  • Occasionally moves items weighing up to 10-15 pounds 

  • Occasionally moves about the office 

  • Frequently communicates with others; must be able to exchange accurate information 

  • Constantly operates a computer and other office productivity machinery 

  • Positions self to perform essential functions 

  • Must be able to remain in a stationary position
