Position Description: The Assistant Manager will assist the On-site General Manager with multiple administrative responsibilities and duties.


Responsibilities:

  • Provide extraordinary customer service to Unit owners, residents, Board Members, and vendors.
  • Provide positive, professional, and honest communication with same and with onsite and off-site Management staff.
  • Front office duties: Answer the phone, greet, and provide initial service to visitors.
  • Distribute forms and documents per procedure.
  • Manage the electronic access software system and related access devices (FOBS).
  • Keep privileged information confidential.
  • Accept, record, and process assessment and other resident payments received at the onsite office. Assist owners with payment options and setting up automatic dues payments.
  • Provide owners with account status and balances, payment due dates, and explain the transaction history of their accounts.
  • Directly assist the General Manager with community-related tasks.
  • Assist with producing Association documents when duly requested by owners.
  • Board packet assembly, including scanning, formatting, copying, and binding.
  • Update association portals, including but not limited to current documents, Board Member names and positions, community calendar, posting      minutes, and sending email blasts.
  • Communicate and coordinate with third-party vendors.
  • Create work orders for the appropriate vendors, follow up on the status of work orders, and update system notes as necessary.
  • Create monthly newsletters.
  • Open, sort, and distribute the mail.
  • Manage Clubhouse reservations and maintain the Clubhouse calendar.
  • Additional duties as assigned.

Requirements


  • An honest, responsible, optimistic, and enjoyable demeanor.
  • 4 Year College Degree preferred; High School Diploma required.
  • 1-2 Years of experience in an administrative role.
  • Any direct HOA or multi-family property experience (preferred).

  • Proficient data-entry and typing skills.
  • Basic mathematical abilities.

  • Excellent computer abilities to navigate our care systems.
  • Proficient with Microsoft Office (especially Word, Excel, and      Outlook), and Adobe.
  • Strong organizational and time management skills.
  • Coachable and adaptable to learning new systems and procedures.

Physical Demands:

  • Sitting at a desk for long periods
  • Walking for up to two hours.
  • Ability to lift up to 40 lbs.
