Position Overview
The Administrative Assistant, Operations will provide dedicated support to the Senior Operations Manager, focusing heavily on the collection, analysis, and reporting of critical warehouse, assembly, supply chain, and ER Lab metrics and Key Performance Indicators (KPIs). This role is vital for maintaining operational transparency, supporting data-driven decision-making, and ensuring the smooth administrative functioning of the operations department. The ideal candidate will possess strong analytical skills, meticulous attention to detail, and proficiency in data management and reporting tools.
Responsibilities
Main Responsibilities:
• Manage and update daily, weekly, and monthly reports for Supply Chain, Warehouse & Assembly, and the ER Lab, including but not limited to production output and efficiency, cost per unit tracking, warehouse score cards, and expense related reports.
• Prepare internal and external corporate documents, reports, and presentations as directed.
• Track and report on Key Performance Indicators (KPIs) for specific operational areas, ensuring data integrity and timely dissemination.
• Update & Maintain expense coding cheat sheet for Warehouse Operations Managers
• Update & maintain SOPs as needed.
• Collaborate with internal staff and external stakeholders on behalf of the Senior Operations Manager
• Conduct research and compile data as needed for decision-making support.
• Perform general administrative duties as assigned.
• Order supplies as needed.
• Attend meetings and ensure follow-up on action items as needed.
Marginal Job Functions:
• Other projects & duties assigned as needed.
Requirements
Education:
• Associate's degree required, bachelor’s degree is preferred in Business Administration or finance.
Experience:
• Minimum of 3 years in an administrative role
• Excellent organizational and time-management skills
• Strong written and verbal communication skills
Other Requirements:
• High proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and calendar management.
• Ability to multitask and prioritize in a deadline-driven environment.
• Professional demeanor and strong interpersonal skills
• Discretion and confidentiality are essential.
• Valid driver's license required with acceptable driving record
