Your Opportunity
The Stantec Miami Fl office is seeking an experienced, highly motivated individual to provide organizational and administrative support to our team. The position will play a key role by providing support to the local management team, assisting with all office operations.
Your Key Responsibilities
- General clerical duties including photocopying, fax and mailing, maintain supplies and UPS/FEDEX.
- Phone system several incoming lines
- Greeting clients and vendors
- Supporting conformance with company policies, procedures and ISO-certified Integrated Management System
- Prepare documents in MS Word, Excel, Powerpoint, OneNote, and other programs
- Prepare, edit, and format documents including correspondence, reports, proposals, drafts, memos, office address book and emails
- Processes expense reports, invoices and orders
- Schedule and coordinate meetings, appointments, internal and external events and travel arrangements.
- Creating attractive graphics, maps and figures to include proposals, technical reports, meeting notes and presentations
- Handle administrative requests and queries from leadership, project managers and engineers.

The successful candidate will possess a strong work ethic and excellent organizational skills. The successful candidate will also possess the following qualifications:
- Strong work ethic and commitment to safety.
- Detail-focused individual, who has the ability to learn and adapt quickly
- Demonstrate strong time management skills with the ability to prioritize and meet deadlines in a fast pace working environment
- Ability to work with multiple project managers to assist in meeting deadlines
- Excellent written and oral communication skills, strong time management skills
- Flexibility and ability to work extended hours as required.
- Enjoys working independently and within a team environment
- Advanced proficiency in office systems, and general office maintenance
- Advanced expertise in the Windows environment, including the full suite of Microsoft office programs, Word, Excel, Outlook, PowerPoint, OneNote and Adobe Reader/Writer.
- A valid Driver’s License and a dependable personal means of transportation are required
Education and Experience
- Minimum of 2 years' work experience in required. Experience in A/E (engineering, architectural or construction) consulting firm is preferred.
